We have partnered with our client in their search for an Accounts Payable Specialist, located in downtown Chicago. This is a hybrid role (3 days onsite, 2 days remote), but 100% onsite during training.
Responsibilities
- Monitor company expenditures via credit card management application by securing approvals, scrutinizing GL coding, and conducting data import/reconciliation from the expense management system to GL.
- Audit vendor invoices against purchase orders/contractual terms, securing payment approvals from company personnel.
- Ensure accurate recording of intercompany transactions across appropriate ledgers.
- Maintain updated vendor information in NetSuite for generating vendor analysis reports.
- Review departmental coding and furnish department data to the Financial Planning & Analysis Team.
- Process and manage daily invoice entry and payments, liaising with vendors and stakeholders to guarantee expense accuracy in NetSuite.
- Assist during year-end 1099 process to ensure compliance with IRS requirements.
- Provide ad-hoc reports and fulfill requests from the accounting management team.
Skills Required
- 1-2+ years AP experience
- NetSuite, Expensify and/or Concur are all a nice to have
- Pivot Tables, index match a nice to have
- Ability to work in downtown Chicago office Monday-Friday 100% onsite for Training, then Hybrid 3 DAYS onsite, 2 days remote
- Hours: 9am-5pm, No overtime expected
- 1 other dedicated AP Specialist on team
- 100 invoices per week - mix of manual & batches, file uploads, etc
- No 3-way match yet, but will be coming (not required)
Education & Work Experience
- Degree in Accounting, Management Information Systems, Finance or related major is a nice to have
- 1-2+ Years in Accounts Payable
