ESSENTIAL DUTIES AND RESPONSIBILITIES:
Receives copy of purchase order, receiving reports, bills of lading, delivery receipts, and files them temporarily by vendors.- Matches vendor invoices with purchase orders and receiving documents. Any discrepancy should be addressed and cleared with the appropriate personnel.
- Prepares matched invoices and input for payment and forwards it to the Accounting Manager for review and approval.
- Generates and verifies the list of invoices which are due for payment each week.
- Matches paid vouchers with checks and forwards them to the check signatories for signature.
- Mails signed checks to vendors and files copies appropriately by vendors.
- Inputs new vendors and updates automated vendor listing whenever necessary.
- Requests vendor’s Employer Identification Number (EIN) for federal form 1099 purposes.
- Reconciles intercompany and other vendor accounts.
- Assists in the preparation of business plans/annual budget.
- Maintains retention of vendor files and accounting records in the storage room.
- Attends other matters which the Accounting Manager and/or the Director of Operations may assign from time to time.
