PHINIA will be a product leader in fuel systems and aftermarket distribution with balanced and synergistic exposure among Commercial Vehicle (CV), Light Vehicle (LV) and Aftermarket end markets, with embedded relationships with global OEMs and a focus on the global vehicle parc.

Job purpose
In this role, the Executive Assistant (EA) will provide administrative support in a variety of functions to the Chief Executive Officer (CEO) that are focused on increasing the efficiency of the executive. As the EA for the you will have the ability to think proactively and respond quickly and efficiently and will possess strong administrative, written, and verbal communications, and organizational skills, and have the ability to prioritize projects and the needs of the organization while handling multiple priorities and highly sensitive and confidential information with the utmost discretion and composure. Flexibility, initiative, and demonstrated capacity to work independently are the key skills you'll possess to succeed.
Key responsibilities
- Works directly with the CEO to support all aspects of his daily work routine, juggling competing priorities as necessary and making appropriate and informed decisions regarding available time.
- Maintains the CEO's calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements.
- Provides support and project management for a range of initiatives in which the CEO plays a lead role.
- Manages the CEO's calendar and daily workflow,
- Schedules internal and external meetings, coordinating all logistics and details, providing relevant preparation materials, and ensuring appropriate follow-up.
- Screens, directs, responds to, and prioritizes calls and meetings, facilitating the smooth exchange of information as a first point of contact for staf and external partners.
- Coordinates travel arrangements for the CEO, including flights and lodging.
- Schedules and arranges meetings, compiles and distributes materials, attends meetings, prepares meeting minutes, and maintains corporate documents.
- Plans and oversees logistical arrangements for meetings, including space and facility needs, meals and refreshments, supplies, and technology.
- Composes, edits, designs, and formats documents.
- Completes expense reports for reimbursement.
Board Support and Liaison
- Serves as the CEO's administrative liaison to Board of Directors
- Maintains discretion and confidentiality in relationships with all board members
- Adheres to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format
- Participates as an adjunct member of the Executive Team including assisting in scheduling meetings and attending all meetings as assigned
- Overall management and coordination of all board gatherings with the CEO
What we're looking for
Work experience
- Minimum of 7 years' experience as an administrative assistant including 4 years of experience supporting an Executive - associate degree preferred - Prior experience in a corporate environment
- An associate degree or its equivalent is preferred
- Prior experience providing high-level support to boards, committees, or other similar work groups
- Minimum of five years of experience managing projects and initiatives
- Experience working under pressure and managing multiple, competing tasks and priorities
- Experience drafting agendas, presentations, reports, and correspondence on behalf of senior executives
