Job Title: Special Projects Coordinator
Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to support our Chief Technology Officer (CTO). The ideal candidate will excel in multitasking, prioritizing responsibilities, and maintaining efficient communication with internal and external stakeholders. This role involves coordinating various projects, overseeing administrative tasks related to IT operations, and providing essential support to the CTO in daily activities.
Responsibilities:Project Coordination:
- Assist in organizing and tracking ongoing projects, ensuring deadlines are met.
- Facilitate communication with stakeholders and external vendors.
- Maintain project documentation and contribute to progress reports.
Meeting Support:
- Coordinate scheduling for new project discussions, team meetings, and other relevant sessions.
- Assist in preparing meeting agendas and document minutes as needed.
- Schedule and coordinate interviews for the CTO and other team members.
Administrative Tasks:
- Oversee IT-related responsibilities, including inventory management and license tracking.
- Handle correspondence and communications on behalf of the CTO.
- Assist in creating and maintaining organized filing systems.
Communication:
- Maintain clear and effective communication with team members, stakeholders, and external contacts.
- Draft, proofread, and edit documents, emails, and other communications as required.
Tech Savviness:
- Possess a good understanding of technology and be comfortable navigating various software applications.
- Assist with basic IT-related tasks and act as a liaison with the IT department.
Qualifications:
- Experience as an administrative assistant or in a similar role.
- Exceptional organizational skills and the ability to manage multiple tasks simultaneously.
- Strong written and verbal communication skills.
- Tech-savvy with proficiency in Microsoft Office Suite and other common office software.
- Ability to work independently and take initiative in a fast-paced environment.
- Previous experience in a technology-related setting is a plus but not required.
Education:
High school diploma or equivalent. Additional certification in office management or a related field is a plus.
