We are looking to hire aProject Coordinatorto support all our clients within the New York Metropolitan area, this role will be based exclusively out of our Allendale, NJ headquarters.
Established in 1933, Control Associates along with its global process automation business partner, Emerson, specializes in supporting the process control equipment and service needs of the following industries: Life Sciences, Natural Gas Distribution & Transmission, HVAC, Power, Chemical, and Downstream Hydrocarbons.
Role:
This person will join a growing Project Management team and be solely responsible for coordinating many project specific tasks for the project manager, Account Manager, and other team members to keep projects running smoothly, within budget, and tight to the formal project schedule.
Responsibilities:
- Create client specific Purchase/Work Orders, Purchase Requisitions, Project Invoices, and Inquiries for all of products and services that we directly provide our customers
- Review all customer orders for compliance with our quotation, communicate and resolve any discrepancies, and then process orders for fulfillment through IFS, our ERP tool.
- Track orders through to completion to ensure timely delivery and invoicing, also monitor orders and ship dates and update clients on delivery schedules.
- Managing day-to-day activities for the Project Management team and ensure project team adheres to provided timelines and deliverables
- Analyze project data, including costs, and produce progress reports, to better keep to the timeline and better manage project cost/expenditures
- Track time entry on projects, create excel time reports to communicate with project team and client management any discrepancies, and/or adjustments needed in the project lifecycle
- Respond to customer order status inquiries.
- Collaborate with Account Manager and Project Manager/Lead Engineer in resolving discrepancies, exceptions, questions, or concerns deemed necessary to successfully implementing the project.
- Reports to Project Manager
- Normal Working Hours: Monday through Friday 8:00 AM to 5:00 PM
Prerequisites:
- Qualified candidates will possess a minimum of two degree or equivalent work experience, bachelor's degree preferred.
- Strong experience with Microsoft Office Suite applications, especially excel is required.
- Any real-world experience with MS project, Power BI, or any ERP experience, highly regarded.
- Excellent time management skills required. She/He must have the ability to organize priorities based on project deadlines
- Must be able to adapt to changing environments and busy timelines
- Must have strong interpersonal skills. She/He will engage with customers and fellow employees at various levels in different departments, so this person must be able to build trust quickly.
- This is a very visible role within a customer facing team, so excellent written, electronic, and verbal communications skills are required.
- Industry experience that is Cost Conscious, highly preferred.
- Excellent attention to detail, teamwork, Quality of work, and Customer Service expertise are all required.
