Job description

Title:Construction Project Coordinator

Status: Full-Time

Location: Picatinny Arsenal, NJ

Travel: Local/Regional


Position Summary:

Midnight Sun is hiring a Construction Project Coordinator to support Federal construction contract in Picatinny, NJ. This position will have responsibility for assigned projects in terms of setup, insurance, files, subcontractors, billing, change order processing, etc. Will work primarily with Project Managers, the Pre-construction group, and the executive team.


Duties/Responsibilities:

  • Assist with creation and maintenance of project files on shared drive. Establish and maintain appropriate document control.
  • Verify and document subcontract paperwork (insurance certificates, lien waivers, signed subcontracts and certified payrolls) in support of PMs and the Project Accountant.
  • Ensure the proper distribution/review/coding/approval of subcontractor and supplier invoices.
  • Support Pre-construction activities through solicitation and proposal assembly.
  • Manage Procore or similar project management system to file client change requests, subcontracts, subcontractor change orders and purchase orders.
  • Assist in the preparation of monthly client invoices to include certified payroll.
  • Support project teams in the project submittal process.
  • Work cooperatively with co-workers, clients, and vendors.
  • Maintains all copies of contracts, subcontracts, purchase orders, change orders, etc.
  • Maintain Contracts/Purchase Order log for each project.
  • Cross training as needed in other administrative areas such as HR and accounting.
  • Assist with the security and government approval process including badging, paperwork, and training.
  • Assist with contract closeout to include return of equipment and materials, Employee Status Change (ESC) forms, and other paperwork.
  • Must have an Uncompromising Commitment to Safety.
  • Other duties as assigned.


Requirements:

Education/Experience:

  • High school diploma required; Bachelor's degree preferred.
  • Minimum 2-3 years of experience as project admin assistant for a general contractor.

Knowledge, Skills, and Abilities:

  • Thorough knowledge and experience of billing/invoicing using purchase orders and subcontracts.
  • Required experience handling lien releases, pay applications, and change orders.
  • Strong attention to detail.
  • Excellent time management and multi-tasking abilities; deadline driven.
  • Excellent administrative and organizational skills.
  • Solid interpersonal and communication skills both oral and written.
  • Strong verbal and written communication skills, to include clear, concise, and professional presentation of information.
  • Must demonstrate a strong ability to:
    • Adapt and be flexible to frequent changes in a fast-paced work environment.
    • Collaborate and work effectively in a team environment with people of various backgrounds and styles.
    • Adapt to the constantly evolving world of technology, design, means and methods, systems may include but not limited to: Microsoft Office suite, ProCore, and Adobe.


Work Environment:

  • Performance of the required job duties will be in an office environment along with visits to sites that are under construction, which may include various weather conditions.
  • Responsible for driving between project sites that are often miles apart or miles from the assigned office location.

    • Ability to walk terrain and surfaces that may be far, uneven, or temporary.
    • Ability to regularly sit, stand, walk, talk, and hear.
    • Ability to frequently use hands to finger, handle, or feel.
    • Ability to occasionally climb, balance, stoop, kneel, squat, or reach.
    • Ability to frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
