The Secretary II provides administrative services for the Department of Medicine, Division of Endocrinology.
Among the key duties of this position are the following:
- Coordinate and schedule appointments, meetings, and events for the division head and staff.
- Manages the calendar to avoid scheduling conflicts and ensure efficient use of time.
- Handle incoming and outgoing communications, including emails, phone calls, and written correspondence.
- Assists in preparing official letters, memos, and reports.
- Organize and coordinate division meetings, including scheduling, preparing agendas, and distributing relevant materials.
- Take minutes during meetings and distribute them to relevant parties.
- Arrange travel plans, including booking flights, accommodations, and transportation, for division chief and members attending conferences or other events.
- Graduation from an accredited program in secretarial studies plus three (3) years of full-time secretarial experience.
- An additional year of experience is required in lieu of the secretarial program.
- College credits may be substituted on a year-for-year basis for secretarial experience.
- Up to sixty (60) credits may be substituted for two years of secretarial experience.
- Proficiency in computer skills and knowledge of Microsoft Office Suite.
- Demonstrated excellent telephone and customer service skills.
- Ability to handle multiple tasks accurately in a fast-paced environment.
- Proficiency in typing and word processing skills required. Experience with additional software packages.
- EMR experience strongly desired.
- Physical Demands: Standing, sitting, walking, talking or hearing. No special vision requirements. Moderate physical effort (lift/carry up to 29=0 pounds) for office supplies delivered.
- Work Environment: Moderate noise (examples: business office with computers and printers, light traffic).
