Position Details
Specialty services include the New Jersey suicide prevention helpline and peer help lines for police, veterans, active military, teachers, mothers of special needs children and child protective service workers. In FY2016, UBHC treated 16,199 consumers, had 24,502 admissions, and touched the lives of 19,441 individual callers through peer support. In addition, UBHC is the primary mental health training resource for the New Jersey departments of Human Services, Children and Families, and Corrections, delivering 16,000 trainings each year.
Under the supervision of the Office Manager, the Secretary III provides administrative and general office services to the Unit.
Among the key duties of this position are the following:
- Performs typing assignments for Department.
- Completes typing assignments with 90-95% accuracy as observed by supervisor and indicated by feedback from staff.
- Ensures completion of typing assignments in accordance with established department format as observed by supervisor and feedback from staff.
- Proofreads and corrects grammatical usage with 90-95% accuracy as observed by supervisor and feedback from staff.
- Submits typing assignments within pre-established timeframes as noted by supervisor and feedback from staff.
- Acts as principal liaison with the Access/Transfer Center on daily operations.
- Ensures appointments are entered into database system with 90-95% accuracy as observed by supervisor.
- Graduation from an accredited program in secretarial studies plus two (2) years of full-time secretarial experience.
- An additional year of experience is required in lieu of the secretarial program.
- College credits may be substituted on a year-for-year basis for secretarial experience.
- Up to sixty (60) credits may be substituted for two (2) years of secretarial experience.
- Proficiency in typing and word processing skills required.
- Must have knowledge of Microsoft Office.
- Demonstrated excellent telephone and customer service skills required.
- May be required to work flexible hours to provide coverage of UBHC scheduling functions.
- Demonstrated ability to handle multiple tasks accurately in a fast paced environment.
- Bilingual skills (Spanish/English) preferred.
- Knowledge of Banner and procurement policies and procedures preferred.
- Moderate physical effort (lift/carry up to 50 pounds).
- Frequently prolonged sitting and data entry.
- Frequently talks and listens to people on the telephone, and intermittently walks, bends stretches, pushes and pulls.
- Generally pleasant working condition in a clean, well-lighted, quiet to moderately loud setting.
Under Policy 100.3.1 Immunization Policy for Covered Individuals, if employment will commence during Flu Season, Rutgers University may require certain prospective employees to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless the University has granted the individual a medical or religious exemption.
