Essential Duties and Responsibilities:
- Manages the day-to-day operations of front office. Plan and schedule work-flow of staff assignments.
- Supervise clerical or administrative personnel.
- Ensure professional, service-oriented reception of parents, visitors and members of the public who call or visit the preschool building.
- Supervise the work of support staff to ensure adherence to quality standards, deadlines, and proper procedures, correcting errors or problems. Provide employees with guidance in handling difficult or complex problems and in resolving escalated complaints or disputes.
- Implement corporate and departmental policies, procedures, and service standards in conjunction with management.
- Develops and maintains administrative procedures; recommends, develops, and implements changes as appropriate. Oversee maintenance of office record-keeping systems.
- Oversee the preparations of reports, memos, letters, meeting minutes and other documents.
- Performs annual staff evaluations for support staff.
- Fosters a positive, high performance and collaborative environment.
- Ensure the department maintains a safe, clean, organized, professional work environment.
- Maintains confidentiality of organization fiscal, personnel and consumer related information.
- Maintains a thorough working knowledge of and adheres to organization policies and procedures.
- Other duties as assigned by the Executive Assistant.
Education and Experience Requirements:
- Associate degree in Business Administration or a related field
- Must have 3-5 years’ experience with administrative support with supervisory experience.
Qualifications and Knowledge:
- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology.
- Excellent communication and language skills with the ability to take up roles and responsibilities on a proactive basis. Must be confident with organizational ability and possess the capacity to multi-task.
- Proficient with modern office software including Microsoft Excel, Microsoft Outlook, Microsoft Teams, and Microsoft Word.
- Ability to analyze information and evaluate results to choose the best solution and solve problems.
- The ability to listen to and understand information and ideas presented through spoken words and sentences.
- The ability to tell when something is wrong or is likely to go wrong. It does not involve solving the problem, only recognizing that there is a problem.

- Fingering is required regularly for typing and the use of hands in a repetitive motion.

- Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, ability to adjust focus to perform activities such as preparing and analyzing data, viewing computer screens.
