- Prepare/tidy lobby area for the day, unlock main entrance doors, have updated and available reading material.
- Respond to incoming telephone calls, provide appropriate assistance, take messages or refer to proper party.
- Greet visitors; have visitor sign in, inform employee of their visitor.
- Upload legal papers to H drives for the appropriate Departments.
- Assist accounting with matching invoices to Purchase Orders and scanning documents into Docuware.
- Maintain and update main mail list and national phone list.
- Assist with company mailings by addressing, sorting and stuffing envelopes.
- Process all Postage metered items, Fed Ex and UPS mailings.
- Schedule main conference rooms.
- Prepare a variety of correspondence, memorandum, reports and forms as requested.
- Organize, maintain and update departmental files.
- Stock coolers and food in kitchens.
- Monitor inventory of office supplies and requisition replacements as needed.
- Sort and distribute departmental mail.
- Setup and maintain departmental files.
- Use personal computers, and other common office equipment.
- Ordering holiday gifts for customers and employees.
- Make hotel reservations for roofing and sheet metal crews.
- Track and upload Certificate of Insurance for Subcontractors.
- Perform other duties as assigned.
- Compliance with workplace policies and procedures for risk identification, risk assessment and risk control
- Active participation in activities associated with the management of workplace health and safety
- Identification and reporting of health and safety risks, accidents, incidents, injuries and property damage at the workplace
