Position Title: Personal Assistant to CEO FLSA: Non-Exempt
Position Summary
The Personal Assistant is a highly organized and dynamic individual who provides comprehensive administrative support to the CEO and ensures the seamless operation of the executive office. This position entails managing both the professional and personal facets of the CEO's daily life. Success in this role requires a proactive, resourceful individual capable of handling diverse tasks. Managing priorities effectively and maintaining confidentiality in a fast-paced work environment is crucial for excelling in this position.
Essential Duties/Responsibilities:
- Coordinate and manage the CEO's schedule, including appointments, meetings, and events.
- Anticipate and prepare materials and information needed for meetings and appointments.
- Arrange domestic and international travel, including flights, accommodations, and transportation.
- Prepare travel itineraries and ensure all necessary arrangements are in place.
- Manage a range of personal tasks for the CEO, including but not limited to grocery shopping, gift purchasing, and other miscellaneous errands.
- Help immediate family with anything they need regarding technology or transportation.
- Ensure the well-being of the CEO's pets.
- Manage personal appointments and commitments to ensure a seamless work-life balance.
- Screen and manage emails for the CEO, ensuring effective communication and prioritizing urgent matters.
- Draft and proofread correspondence, reports, and presentations as needed.
- Maintain strict confidentiality and discretion in handling sensitive information and matters related to the CEO's personal and professional life.
- Plan and organize personal events, gatherings, and special occasions for the CEO and their family.
- Track and reconcile personal expenses, ensuring accuracy and timely submission of expense reports.
- Support various personal business needs upon request
- Act as a liaison between the CEO and internal/external stakeholders, ensuring smooth communication and collaboration.
- Performs other duties as assigned
Skills/Abilities
- Bilingual (Spanish) written/oral is preferred
- Exceptional organizational and time-management skills.
- Strong communication and interpersonal abilities.
- Discretion and trustworthiness when handling confidential information.
- Ability to multitask and prioritize tasks efficiently.
- Flexibility to work outside regular business hours when needed.
- High level of MS Office Suite/Google Suite, including Word, Excel, Google Docs, Google Sheets, etc.

Education/Experience:
- Bachelor's degree in business administration or equivalent related experience preferred.
- Minimum of 4 years of Proven experience as an executive or Personal Assistant to senior leadership.

Pay: From $18.00 per hour
Expected hours: No less than 40 per week
