The Office Administration position will be responsible for scheduling for the organization and plays a vital role in ensuring and upkeeping appointments for our clients and staff. This role may include additional administrative duties that require strong organizational and communication skills.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
- Uses various computer applications, such as database management and word processing
- Professionally answers telephones, takes client intakes, answers employee questions, completes employee requests, and redirects callers to appropriate parties when necessary
- Creates, maintains, and enters data into databases
- Schedules appointments using spreadsheets or software
- Inputs travel appointments and manages route schedules
- Corresponds with insurance payors via written or verbal communication
- Inputs client authorizations into spreadsheets and software
- Manages and analyzes email inbox, prioritizes urgent requests, and responds in a professional and timely manner
- Maintains working knowledge of current company functions, services hierarchy, protocol, procedures, and software
- Maintains working knowledge of California laws surrounding lunches, breaks, and travel
- Regularly updates clinical teams and pertinent parties with developments
- Greets employees and clients upon entry
- Completes tasks as assigned by management
Minimum Qualifications (Knowledge, Skills, and Abilities)
Preferred: High school diploma or equivalent
- At least one year of job-related experience
Skills:
- Must have excellent verbal and written communication
- Must be organized
- Must have time management and coordination
Job Type: Part-time
Pay: $18.00 - $22.00 per hour
