We are seeking an Office Administrator for our West Los Angeles office. The successful candidate will be experienced in handling a wide range of office administrative support-related projects and will be able to work both independently and as part of a team. Must have the ability to interact with staff (all levels). Should have the ability to be proactive, resourceful and efficient with a high level of professionalism and confidentiality is crucial to this role.
Essential Job Duty and Responsibilities
- Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
- Manage extremely confidential details and assignments in an ethical manner.
- Anticipate and prioritize business needs, make suggestions for improvements, and coordinate workflow.
Serve as the point person for maintenance, mailing, shopping, supplies, equipment, bills, and errands.
- Coordinate the ordering, receiving, and stocking of office supplies including office meals.
- Prepare and distribute meeting agendas, presentations, and related materials for executive management meetings including board of director meetings.
- Act as safety/fire warden to oversee and assist in the identification and elimination of workplace hazards and promote health and safety. Act as fire warden for designated area in the event of an evacuation.
- Support CEO, CFO and Marketing Manager in additional tasks as assigned.
- Support team with requests related to marketing which includes managing and addressing marketing department mailbox.
- Protect and build the Shapell Properties brand that includes but is not limited to monitor and address the perception of the company. Ensure that materials, communications, and initiatives adhere to brand manual.
- Assist to execute advertising strategies and campaigns to help increase brand awareness and community engagement that includes social media.
- Assist to execute marketing strategies to enhance company culture through company-wide community events, promotions, and initiatives.
- Assist with company and community website updates and maintenance.
Job Requirements
- 1+ year of office administrative support experience. Support of Marketing Manager and CEO/President level, desired.
- 1+ year marketing experience, preferred.
- Experience in marketing/ property management field preferred.
Must be well organized, flexible, and enjoy administratively supporting an office of diverse needs.
Education
- Bachelor's degree or equivalent experience preferred
