Performs complex (journey-level) administrative support or technical program assistance work for Minor Construction. Work involves disseminating information, maintaining filing systems, and performing internal administrative support work. Works under general supervision with moderate latitude for the use of initiative and independent judgment.accounting, budgeting, purchasing, training, payroll, records management, and property management. ESSENTIAL FUNCTIONS:
¨ Receives portal requests, creates work orders and closes work orders upon completion in computerized maintenance management system (CMMS). Serves as back-up and enters staff labor as needed.
¨ Prepares purchase requisitions and processes invoices and receiving reports.
¨ Prepares, edits, and distributes correspondence, studies, reports, forms, and documents.
¨ Develops, coordinates, and maintains records, records management, archiving, and filing system.
¨ Performs data entry and retrieval in CMMS (Micro-Main), procurement database (CAPPS), and Microsoft Office programs.
¨ Responds to telephone calls, correspondence and other inquiries.
¨ Receives and reviews documents, forms, applications, and other written work for completeness and accuracy of information.
¨ Reads and analyzes incoming memos, submissions, and reports; prioritizes and plans distribution.
¨ May assist in compiling and analyzing data, making calculations, and preparing reports.
¨ Serves as credit card administrator
¨ Manage Minor Construction’s billing, manual billing, separate billing, issuing credits, and aging reports (reconciliation).
¨ Advises staff on where action may be required to stay within budget.
¨ Performs related work as assigned
MINIMUM QUALIFICATIONS:
¨ Minimum Five ( 5) years’ experience in administrative support.
¨ A high school diploma and graduation from a junior college, technical college, or completion of coursework from an accredited four-year college with substantial coursework in public or business administration. Experience and education may be substituted for one another
KNOWLEDGE, SKILLS & ABILITIES:
¨ Knowledge of agency programs, policies, and procedures; the methods, principles, and practices of the agency; fiscal or budgeting techniques and practices; and office management.
¨ Working knowledge of office practices and administrative procedures.
¨ Skill to prepare correspondence and documents, including writing and editing reports; and to maintain records and records management systems.
¨ Skill to prepare documents using correct spelling, grammar, and punctuation.
¨ Skill in the use of personal computers and applicable programs, applications, and systems; and basic office machines and equipment.
¨ Ability to research, analyze, and interpret policies and state and federal laws and regulations.
¨ Ability to proofread and review documents for clarity and consistency.
¨ Ability to perform data entry and retrieval.
¨ Ability to prepare and maintain records, files, and reports.
¨ Ability to protect sensitive and confidential information.
¨ Ability to provide customer service.
¨ Ability to meet deadlines.
¨ Ability to train others.
¨ Ability to communicate effectively, both orally and in writing.

PHYSICAL REQUIREMENTS AND/OR WORKING CONDITIONS:
This classification functions in a standard office environment. There are no unusual dangers involved, but the position will have exposure to dust, environmental allergens, pathogens, and other microorganisms consistent with business activities and human contact. The position holder must be able to work effectively with people under varying conditions, must be able to work extended periods at a computer, and must be able to work longer than eight hours in a workday as necessary. Physical requirements also include the ability to move items up to 30 lbs. and perform tasks requiring fine motor skills and coordination.
