Executive/Personal Assistant
Seeking a seasoned Executive/Personal Assistant to support a dynamic entrepreneur and his family-owned group of companies. This in-office role is based in the Greenway Plaza area and offers a part-time commitment of 3 days per week, totaling a 24-hour work week. This position combines corporate and personal projects & tasks for multiple small companies along with their respective executives and family members. This opportunity is tailor-made for an experienced professional who is self-motivated, excels at multitasking, and is eager to take on diverse responsibilities.
About the Job:
The Executive/Personal Assistant serves as the gatekeeper to our companies and executives, with the potential for the role to evolve and adapt over time. Key duties include:
· Manage the administrative and operational aspects of the office.
· Maintain calendars and schedule internal and external meetings.
· Make personal appointments.
· Screen incoming phone calls and deliver detailed, timely messages.
· Prioritize emails and respond on the executive’s behalf.
· Produce materials for meetings, take notes, and follow up on action items.
· Create and maintain expense reports, files, and databases.
· Conduct research as needed to compose professional correspondence and general analysis.
· Coordinate travel arrangements including flights, cars, hotels, and other reservations.
· Purchase and deliver/ship corporate & personal gifts.
· Manage special projects and initiatives with discernment.
· Plan, implement, and host events.
· Recruit for corporate positions.
· Handle confidential and sensitive information with discretion.
· Run local errands as requested.
The Ideal Candidate:
· Must be a self-starter, multitasker, great listener, and problem solver.
· Has at least 15 years of experience in a similar role; or possesses a similar skill set.
· Has a bachelor’s degree. An advanced degree is a plus.
· Possesses outstanding verbal and written communication skills.
· Is highly detail-oriented with the ability to switch gears quickly.
· Demonstrates excellent Microsoft Office skills.
· Presents a polished, professional demeanor.
· Upholds a high level of integrity and discretion in handling all confidential information, high emotional and intellectual intelligence.
· Is willing to make themselves available by cell during off-hours.
Salary is commensurate with experience.
