Company Overview: Ways2Well is seeking a highly organized and dedicated Executive Assistant to join our team in the Austin office. This crucial role involves providing comprehensive administrative support to ensure the smooth operation of our leadership activities. The Executive Assistant will play a key part in coordinating meetings, planning events, arranging travel, managing expenses, and handling various administrative tasks.
Job Description: As an Executive Assistant at Ways2Well, you will be at the heart of our operations and activities and the soul that keeps our team moving forward. You will anticipate the needs of the CEO and team members and help them stay focused on their projects by resolving operational and administrative issues before they arise.
Essential Functions:
- Provide comprehensive administrative support to the CEO, including calendar management, scheduling meetings, making travel arrangements, managing speaker and appearance requests, and expense reporting.
- Keep the CEO informed of time-sensitive issues, ensuring appropriate follow-up.
- Coordinate and prepare for meetings, communicate with internal and external stakeholders, and engage with the community.
- Proactively manage the scheduling, preparation, and support for the Board of Directors and committees.
- Handle project management tasks, including planning meetings (virtual and in-person), seminars, press conferences, managing project budgets, and marketing assets.
- Facilitate travel and schedules for keynote speakers and assist in event preparation and execution.
- Answer inquiries and interact effectively with executive leadership and stakeholders, both in writing and in person.
- Provide day-to-day human resource administration oversight, including onboarding, training, and benefits administration.
- General office support, including recordkeeping, maintaining marketing materials, and ordering office supplies.
- Work collaboratively across departments to ensure a unified approach to company goals.
Qualifications:
- A minimum of 5 years' experience in supporting a senior executive or team.
- Excellent computer skills, proficient in Microsoft Office, Adobe, project management software, and Zoom.
- Exceptional ability to multi-task and manage various project elements simultaneously.
- Ability to work on-site in the Austin office.
- Independent worker with the ability to also work well collaboratively.
- Strong interpersonal, time management, and organizational skills.
- Demonstrated ability to display good judgment and professionalism.
- Critical and analytical thinking skills.
