Yes Position Details Drug Screen Yes Background Checks Yes Position Description The Department of Economic Security is seeking an experienced and highly motivated individual to join our team as an Executive Staff Assistant. This position is set in a hybrid work environment with assigned in office and remote days that may be adjusted due to workload requirements. Under general supervision of the Finance Administrator, this position works independently performing a wide range of complex and confidential administrative duties of considerable difficulty, including coordinating and tracking all critical and time sensitive actions from stakeholders that range from top tier DES leadership to the Governor's Office and the State Legislature; gathering fiscal and policy information associated with Correspondence Control request; writing comprehensive and accurate minutes for all leadership level meetings; gathering high volume Federal Expenditure Report documentation for review, approval and cataloging; submitting and monitoring all purchase request and coordinating with Division Business Administrators; managing conference room calendars; managing the Finance Administrator and Financial leadership calendars; and telecommuting schedules for all staff; arranging all training and travel needs while creating and maintaining the associated standard work; reviewing and updating internal organization charts; developing and communicating administration policy and procedure; and coordinating logistics for staff on-boarding and off-boarding with the hiring supervisors, IT, Payroll and Human Resources. Skills Required Completing difficult anallytic work; written and verbal communication; provide technical assistance and guidance, as requested; set priorities and manage a diverse range of administrative functions; problem solve various issues and execute independent judgement, responds to internal and external customers; coordinating administrative matters between organizational units; interpreting and explaning rules, regulations and functions; prioritizing workflow; researching and correcting errors, using computers, including internet-based applications and productivity software applications, such as Microsoft Office and Google Suite. Skills Preferred Experience Required A Bachelor's degree in a field appropriate to the assignment from an accredited college or univeristy and three to five years of progressivley high-level executive or administrative responsibility with senior level management. Experience in State government preferred.
