POSITION SUMMARY:
Under the supervision of the Executive Office Manager and the Director of Government Affairs, the Executive Assistant is responsible for the highest-level administrative support for the Government Affairs Unit and serves as the back-up support for the Administrative Director and Deputy Director of the Administrative Office of the Courts. Also, provide advanced administrative support for the Executive Office Manager and the Communications Unit as necessary.
This position is responsible for scheduling and organizing meetings, to include rooms assignments, setup, equipment, refreshments, minutes, and travel arrangements. This position will also provide similar support to the Director and Deputy Director as needed.
Other duties include: assistance in event planning and management; prepare and finalize lobbyist reporting documents on a quarterly basis; consistent pone contact and email scheduling with legislators, legislative staff, Judicial Suites, AOC Division staff, other government officials, and lobbyists; coordinate and assist with yearly intern and extern recruiting efforts, prepare materials including report covers, PowerPoints for the presentation of legislative information and proposals to legislative committees, court commissions, and other groups. This position will also be responsible for the maintenance and oversight of hard-copy and electronic files; managing tracking software and news subscriptions; formatting bill summaries; coordinating and distributing vital information regarding legislative proposals; and is responsible for updating and posting legislative information online. This position will also provide support and or serve as the back up to the Executive Office Manager in preparation of meeting materials.
This position may be eligible for a hybrid-telework schedule once the employee has sufficiently proved their ability to perform assigned tasks.

MINIMUM REQUIREMENTS:
The successful candidate must have a high school diploma or GED equivalent plus five years of increasingly responsible and high-level secretarial experience in a full-function office, or relevant training and experience. Other requirements include: excellent grammar and spelling skills, excellent verbal and written communication skills; the ability to treat sensitive information in a confidential manner; extensive knowledge of software to include: Word, Outlook, Excel, Adobe Acrobat, and PowerPoint; basic knowledge of web and content management systems; skills in responding to court, agency personnel, government officials, and public with tact, diplomacy, professionalism, and appropriateness; ability to multi-task and complete detailed work in a timely manner, free of errors.
