We are seeking an Executive/ Personal Assistant to the CEO. This position will play a vital role in providing administrative support to the Chief Executive Officer (CEO) and will be responsible for enabling the smooth operation of the executive office, ensuring effective communication, managing schedules, and handling confidential information with the utmost discretion. This role demands exceptional organizational and interpersonal skills, as well as the ability to prioritize and execute tasks efficiently.
Responsibilities:
- Coordinate and manage schedules and appointments for the CEO.
- Arrange and prioritize meetings, conferences, and travel itineraries.
- Ensure timely reminders and prepare necessary materials for meetings.
- Screen and prioritize incoming communications, including emails, calls, and mail addressed to the executives.
- Draft and review correspondence, presentations, and reports on behalf of the CEO.
- Maintain excellent written and verbal communication with internal and external stakeholders.
- Exercise utmost discretion and professionalism in handling sensitive and confidential information.
- Adhere to strict privacy and security protocols when working with classified information.
- Act as a liaison between the executives and various departments within the company.
- Assist with special projects and run errands as needed.
- Organize and coordinate meetings, including agenda preparation.
- Take minutes, prepare summaries, and follow up on action items.
- Ensure effective use of technology and audio-visual equipment during meetings.
- Arrange travel itineraries, including flights, accommodations, ground transportation.
- Coordinate and manage logistics for conferences, and off-site meetings.
- Run personal errands for CEO, including but not limited to, car appointments, dry cleaning, food and coffee runs, groceries, post office, bank, and various errands.
- Coordinate and manage personal and business appointments for CEO.
Requirements:
- Bachelor's degree in business administration or relevant field (preferred).
- Four or more years of experience in an administrative role reporting directly to upper management.
- Exceptional organizational and time-management skills.
- Proficiency in Microsoft Office Suite and familiarity with productivity tools.
- Strong communication and interpersonal skills.
- Ability to handle sensitive information with the utmost confidentiality.
- Flexibility to adapt to changing priorities and work independently.
- Excellent attention to detail and problem-solving abilities.
- Valid driver’s license with reliable transportation
