Job Overview:
We are seeking a highly organized and detail-oriented Executive Assistant to support Allan Draper, his personal brand, and his involvement in the various companies that he owns. The ideal candidate will have excellent communication skills, strong problem-solving abilities, and the ability to handle multiple tasks simultaneously. As an Executive Assistant, you will play a crucial role in ensuring the smooth operation in the execution of our goals and providing administrative support to Allan.
Responsibilities:
- Manage professional and personal calendars, including scheduling meetings, appointments, and travel arrangements
- Coordinate and prepare materials for meetings, presentations, and conferences
- Assist with project coordination and follow-up on action items
- Handle incoming calls and emails, responding or redirecting as necessary
- Assist with document preparation, editing, and proofreading
- Coordinate and manage podcast recordings, speaking events, and special projects
- Conduct research and compile data as needed
- Perform general administrative tasks such as financial management and data entry
Experience:
- Previous experience as an Executive Assistant or in a similar administrative role is valued, but not necessary.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite
- Strong phone etiquette and professional communication skills
- Excellent organizational and time management skills
- Ability to prioritize tasks and meet deadlines
- Experience with project coordination is a plus
- Familiarity with office management procedures and basic accounting principles
- Knowledge of Google and Apple Calendar
- Computer literacy with the ability to learn new software applications quickly
- Familiarity with DocuSign or electronic signature software is preferred
- Typing speed of at least 60 words per minute is desired
