Position Summary:
Provides general administrative and clerical assistance to the executive administration of the Harbor Light System.
Essential Responsibilities:
- Manage the schedule, calendar, and select communications of the Executive Director
- Organizes meetings, including scheduling, sending reminders, and organizing catering when necessary
- Process and distribute confidential and sensitive documents
- Receive, sort, file and retrieve forms, correspondence and documents
- Prepare and format correspondence and reports
- Perform various clerical duties using Microsoft Office software including Word, Excel, Power Point, and Publisher
- Assist in the coordination and execution of Harbor Light system-wide events
- Compiles and formats analytical and informational reports
- Maintains confidential data bases, spread sheets, and dashboards
- Maintain various records and documents for company executive(s)
- Draft, review and send communications on behalf of company executive(s)
- Maintains strict confidence in regards to information and protects operations by keeping information confidential
- Take minutes at Advisory Council meetings
Qualifications:
- Excellent written and verbal communication skills
- Highly organized
- Strong time-management skills with the ability to multitask
- Ability to pay attention to detail
- Must possess the ability to work independently
- T.B Test and police clearance required
Education/Experience:
- Must possess a high school diploma or equivalent
- Two years of experience in clerical work or any equivalent combination of education, training and experience that demonstrates the ability to perform the duties of the position
Computer Skills:
- Must possess advanced Microsoft Office software skills
Certificates and Licenses:
- Valid State of Michigan Driver License and approval of Salvation Army
- Microsoft Office Specialist Certification preferred.
Physical Demands:
- Ability to lift 10 pounds
- Frequent sitting for long periods of time.
- Capability to visually inspect packages, equipment, and fixtures, as well as observe people and events
- The ability to hear and understand information and ideas presented through spoken words and sentences.
- Ability to use a computer keyboard and or handwrite.
- Capability to use standard office machines like copiers and fax machines.

Paid Time Off
- Sick days begin accruing the first of the month after one full calendar month after employment begins, and you may begin to use sick days after (90) days of employment.
- Up to (4) earned sick days per year may be used as discretionary days.
- Vacation begins accruing the first of the month after one full calendar month after employment begins, and you may begin to use vacation days after (90) days of employment.
- The accrual rate is based upon years of service and approved hours worked.
- You will receive up to 2 personal days and 2 floating holidays this year, pro-rated on month of hire, and will receive 2 personal and 2 floating holidays in following years. You may begin to use personal & floating holidays vacation days after (90) days of employment.
