Job Duties:
The Real Estate Assessor’s Office is seeking a detailed oriented individual with exceptional organizational skills to join our team as an Executive Assistant II. This position will provide support to the department and be responsible for a diverse array of administrative and clerical tasks.
Duties will include, but not be limited to:
- Assist in the management of administrative operations within the City Real Estate Assessor’s Office.
- Provide high level, complex administrative support to the Assessor, the Assistant Assessor and department staff. This includes customer relations, both internal and external, coordinating communications, managing multiple schedules, prepare/draft correspondence e-mails and interoffice memorandums.
- Act as a liaison to the City Treasurer’s office for calculating revised pro-rated and full multi-year tax calculations for amended real estate values.
- Serve as the department’s Payroll Liaison - prepare, process and maintain electronic leave records, and compile leave reports to verify balances.
- Facilitate FOIA request responses.
- Assist in processing specialty programs such as: Energy Efficient Buildings, Historic Rehabilitation, Land Use Assessments, etc
- Maintain data and files for real estate records, to include review of value for accuracy, certification of values in the ProVal CAMA system, and hard copy files.
- Assist in annual certification and reconciliation of the Real Estate Land Book.
- Oversees incoming mail to determine appropriate distribution and disposition.
- Prepare various reports for City Council including power point presentations.
- Understand real estate transfer documentation such as maps, plats and deeds.
- Liaison to HR for managing employee evaluations, departures, and on boarding new hires.
- Work closely with Office Supervisor to ensure cross-training of staff and documentation of business processes are well maintained and current.

Minimum Requirements:
MINIMUMS:
High school diploma or GED plus five (5) years experience in fields providing the required knowledge, skills, and abilities and associated with such positions as Administrative Assistant or Executive Assistant with increasingly responsible administrative support work.
Passing score on a typing test may be required
SPECIAL REQUIREMENTS:
Must be available to work evenings, weekends, holidays, and overtime when required to meet operational needs.
May require passing score on transcription (audio recording or shorthand) test.

Preferences:
5+ years Assessment Office Experience
Experience managing executive calendar, making appointments and/or prioritizing sensitive matters
Familiar with City of VB codes and ordinances
Experience with Aumentum/ProVal software
Experience preparing letters, memos, and correspondence for department head
Experience managing payroll
Experience managing budgets using Oracle
Familiar with deeds, plats, and maps
