Job Summary:
We are seeking a highly organized and detail-oriented Executive Assistant to provide administrative support to our executive team. The ideal candidate will have excellent communication skills, strong computer literacy, and the ability to handle multiple tasks simultaneously. This is a full-time position based in our office.

This position will support all areas of our corporate team with tasks such as scheduling meetings and maintaining calendars, data entry, maintaining electronic filing systems, updating documents, creating meeting minutes, coordination of events and various other tasks. The successful candidate will support the executive team and corporate functions such as Human Resources, Quality, and Business Development.
Responsibilities:
- Handle the full life cycle of event planning for employee and client engagements
- Provide onsite support for meetings or events, as needed
- Resolve office-related issues, respond to requests, and work with vendors when required
- Input a variety of program-related data into systems with accuracy and attention to detail
- Attend meetings, take minutes, and action items, distribute post minutes and after actions to Microsoft SharePoint/OneDrive, and track action items to completion
- Create or update documents, spreadsheets and presentations
- Coordinate, communicate, and collaborate with internal departments (Operations, Finance, Recruiting and Contracts) and external subcontractors or subject matter experts (SMEs)
- Perform receptionist duties when needed
- Issue periodic reports for quality system activities and metrics
- Promptly complete travel and other expense reports
- Perform other administrative duties as required
- Reformat candidate resumes as needed for client approval and proposals
- Coordinate IT asset assignments. Work with IT and Human Resources to ensure accuracy of inventory
- Required attendance at corporate office in Arlington, VA during business hours on Tuesdays and Thursdays with additional onsite support as requested
Qualifications:
- 7 to 10 years of executive level administrative support
- 7 to 10 years of extensive use of Microsoft 365 and Microsoft Office suite (Highly proficient in Microsoft Office applications to include Word, Excel, and PowerPoint, SharePoint and OneDrive)
- Exceptional time management skills and ability to complete tasks within required timeframes with little supervision
- Extremely strong attention to detail even under pressure
- Self-starter that will work independently, manage workload and multiple tasks
- Strong organizational and multi-tasking skills amid shifting priorities
Job Type: Full-time
Pay: $80,000.00 - $100,000.00 per year
