We are seeking an Executive Assistant who is responsible for providing support for the association’s President, CEO, COO, and the National Governing Board (NGB). This position is also responsible for supporting governance such as the nominations/leadership development process, national committees, and officer visits to chapters. Additional responsibilities include duties associated with building operations.
Coordinate logistics and prep materials (chapter officer and demographic information) for CEO and national officer visits to chapters and other association meetings (hotel, airline, car rental, reviewing NGB member expense reports, etc.)
Serve as staff liaison to the Board and other committees, by preparing and distributing all Board communications including (but not limited to) meeting materials and logistics information, attending meetings, taking notes, and preparing minutes.
Organize and maintain National Bylaws and Policies and Procedures.
Provide support during National educational/training events, as requested (this may include some out-of-town travel).
Manage all aspects of national awards and scholarship programs including but not limited to preparing requests for nominations, collecting nominations, coordinating Awards Committee conference calls for awards selection, preparing, and sending notification emails, ordering all awards, coordinating on-site logistics at events for award presentations.
Manage nominations process and governance programs (i.e., annual NGB evaluation, leadership surveys, bylaws proposals, voting logistics, governance reviews, etc.)
Administers maintenance contracts on all equipment (copiers, water coolers, postage machine, coffee service)
Processes all Association mail (sorting, opening, stamping, and distributing the daily mail).
Serves as needed, to provide coverage for the Membership Assistant (incoming phone line and front desk duties including UPS/FedEx deliveries).
Requirements:
· 3+ years of administrative experience in a business office environment, with least two years of experience supporting a senior executive
· Must possess high levels of verbal, written, and interpersonal communications skills
· Must be collaborative, well organized, detail oriented and a self-starter
· Proficiency in Microsoft Word, Excel, PowerPoint
· College degree. B.S or B.A degree in a business-related field of study required
· Prior work experience with an association is desirable, but not required
