Position Summary:
Executive assistants perform more than administrative tasks; be the executive’s “right-hand person” who enables them to advance FoundCare Foundation initiatives and goals. They filter and attend to the day-to-day functions that are part of the executive’s role so that the executive can focus on the high-level leadership and strategy functions.
Essential Functions:
- Responsible for managing the schedules and communications of the President.
- Strong verbal and written communication skills.
- Prioritizing emails, phone calls and follow-up.
- Strong understanding of social media
- Gathering documents to prepare for board meetings.
- Coordinating travel arrangements.
- Maintaining comprehensive and accurate records.
- Performing minor accounting duties.
- Organizing meetings, including scheduling, sending reminders, and organizing catering whennecessary.
- Answering phone calls in a polite and professional manner.
- Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department.
- Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters.
- Time management and ability to meet deadlines.

Required Knowledge, Skills and Abilities:
- Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact, and diplomacy.

Qualifications:
- Executive Assistant training and/or experience a plus.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- High level of interpersonal skills to handle sensitive and confidential situations and documentation.
- Excellent attention to detail.
- Excellent verbal and written communication skills.
Physical Requirements:
- Ability to endure short, intermittent, and/or long periods of sitting and/or standing in performance of job duties.
- Ability to lift and carry objects weighing 25 pounds or less over periods of 100 yards.
- Transport him/herself to other agency departments, conference rooms, and on occasion, to off-site agency locations to accomplish job responsibilities, attend meetings, workshops, seminars, etc.
