LOCATION: Onsite initially; hybrid schedule possible after successful completion of training.
SUMMARY: Provides administrative, secretarial, with some editorial support essential to the production of America’s 1st Freedom and American Hunter magazines, print and digital editions, as well as the NRA Women and NRA Hunter’s Leadership Forum websites. **Must be in harmony with the mission of the NRA**
ESSENTIAL RESPONSIBILITIES:
1. Responsible for the smooth and efficient operation of the administrative and secretarial functions of Amercia’s 1st Freedom, American Hunter magazines, print and digital editions along with NRA Women and Hunter Leadership Forum websites..
2. Prepares and processes monthly copywrite documents, prepares invoices for monthly manuscript payments. Maintain database for each department and reviews and routes PN3 payments to approver for coding and submission.
3. Manages document and correspondence flow through editorial departments and maintenance of correspondence files and communicate by mail or telephone with NRA members, writers, photographers and vendors if needed.
4. Reviews expenses reports for accuracy and ensure they meet NRA compliance, before submitting for payment.
5. Manages all travel authorization approvals.
6. Serve as a back-up to Sr. Executive assistant for review of timecards on a bi-weekly basis.
7. On a daily basis, monitors e-mail address, routing messages to appropriate individuals for processing and response.
8. Compiles annual index of the magazine.
9. Assist with preparing presentations for the editorial staff, as assigned.
10. Other duties as assigned.
SCOPE: Daily coordination with Editor-in Chief of America’s 1st Freedom, American Hunter, NRAWomen and Hunter Leadership Forum. Coordinates with all departments of Publications and other NRA divisions. Frequent contact with NRA members, writers, photographers, suppliers and representatives of the shooting industry.
EDUCATION AND EXPERIENCE: High school graduate. Bachelor’s degree, or equivalent work experience, preferred. Three to five years experience as an Administrative Assistant or administrative secretary, preferably in publishing field.
KNOWLEDGE, SKILLS, ABILITIES: Effective administrative, secretarial and organizational skills. Attention to detail and organization mandatory. Ability to deal effectively and harmoniously with other employees, NRA members, subscribers, and a wide spectrum of outside suppliers. Ability to type 70-80 wpm with accuracy. Ability to handle several projects simultaneously with minimum supervision, and meet strict deadlines. In-depth, hands-on experience with standard office equipment, computer equipment, computer networks, databases, standard office software packages, particularly Adobe Acrobat and Adobe InDesign.
