Job Title:Early Intervention Administrative Assistant
Location: 1405 Shady Ave. Pittsburgh, PA 15217
Pay Rate: $17.27 - $ 20.31 per hour.
Schedule: Monday through Friday 8 am - 4:30 pm (can be flexible with start time as early as 7:30 am and end time as late as 5:30 pm).
The Early Intervention Administrative Assistantis the main driver of the office workflow as it relates to client care and effective Early Intervention business practices. The Early Intervention Administrative Assistant is responsible for coordinating client referrals, managing data and completing the client registration process.
Additional responsibilities:
- Greets all Early Intervention employees and acts as a consistent contact person for the department.
- Ensure steady operations of the telephone system, includes answering lines as needed, directing calls to appropriate staff, receiving and distribution of messages complete with all pertinent information.
- Accurately inputs client demographic and Individualized Family Service Plan (IFSP) information into appropriate systems
- Accepts and assigns clients in computer system.
- Prints all client session notes daily.
- Enters all client session notes into electronic billing system.
- Ensure that client session notes are received for each client session provided.
- Alphabetizes and files, daily, all client session notes.
- Obtains prescriptions for all services per organizational guidelines.
- Monitors prescription reports routinely, and contacts physician offices, to obtain scripts, as indicated.
- Assembles, sends, and files intake packet requirements which includes the consent for treatment.
- Works collaboratively and maintains consistent effective positive communication with internal teams, all stake holders, providers, and caregivers.
- Mails session notes, as directed, weekly.
- Keeps up to date roster of EI staff. Provides copies and notice of changes to the Regional Director of Administrative Operations, for credentialing purposes.
Qualifications
- High school diploma or equivalent required.
- Data entry experience required.
- Experience with computer technologies / software programs such as Microsoft Office, Windows 10, billing or scheduling software, etc.
- Strong, effective, and clear verbal, written and interpersonal communication skills.
- Has strong organizational skills
- Previous Early Intervention work experience preferred, but not required.
- Able to work independently.
- Clearances Required: Act 73 FBI, Act 34 Criminal Clearance, and Act 33 Child Abuse Clearance
