Position Summary:

Job SummaryThe Academic Services Specialist is the primary point of contact for the Susquehanna University Registrar’s Office, supporting operational functions and providing services to students, faculty, staff, and alumni with inquiries related to student academic records. As such, a thorough understanding of university academic policies and a knowledge of federal privacy regulations (FERPA) are required to perform assigned duties, including student record updates using Ellucian Colleague. Ability to maintain integrity and discretion when handling confidential materials and sensitive situations is required. This is primarily an on-campus position which reports directly to the Registrar.
Specific Responsibilities· Ensure timely and accurate fulfillment of transcript requests; monitor and maintain related informational updates on the National Student Clearinghouse.· Process all enrollment and degree verifications for students and third parties, including government agencies, in compliance with FERPA.· Process student academic record updates, ensuring appropriate approval and adherence to university policy. May include, but is not limited to, major/minor declarations, course registrations and withdrawals, creation of and registration for internships and externships, assignment of placement scores, FERPA restrictions, name changes, etc.· Assist with the creation of the annual course schedule, including updates prior to each semester and during registration.· Coordinate timely response to students, faculty, and advisers during all cycles of advising and registration while ensuring adherence to university policies related to overloads, pre- and co-requisites, enrollment restrictions, etc.· Support daily operations of the Registrar’s Office, providing prompt, courteous response to in-person, phone and email inquiries and requests for information related to student academic records while maintaining compliance with university policy and FERPA guidelines.· Support commencement processes and provide logistical support related to diploma organization and distribution for the university’s annual commencement ceremony.· Monitor and maintain Registrar Office materials on the university’s intranet (MyNest) and the public website; review and revise forms and documents in collaboration with relevant offices to ensure ongoing compliance with policy changes as they occur.· General knowledge of related office functions to be able to provide referrals as needed.· General office management e.g., mail, phones, faxes, filing, etc.· Other duties as assigned, including one weekend a year at the end of the spring semester.

Required Qualifications:

EducationHigh school diploma required; bachelor’s degree preferred.
ExperienceThree years of relevant work experience beyond high school or two years of work experience in a Registrar’s Office or other post-secondary academic office.
Knowledge, Skills, and AbilitiesStrong Microsoft Office skills, including proficiency with Excel; ability to attain necessary proficiency with various types of software specific to student record management, particularly Colleague; exceptional attention to detail; excellent organizational, verbal and written communication, interpersonal and customer service skills; ability to multi-task, prioritize responsibilities effectively and work independently with minimal supervision while also contributing to collaborative efforts with campus constituents; thorough understanding of the role of the Registrar’s Office in upholding university policy and ensuring the accuracy of academic records.
Physical DemandSedentary Work – Exerting up to 10 pounds of force and a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time, but may involve walking or standing for brief periods of time. Position requires the ability to talk and to hear instruction. Position requires manual dexterity and the ability to use fingers, hands, and arms to type, feel, handle, and reach. Position requires occasional stooping, crouching and bending. Working conditions are indoor.
