GENERAL DESCRIPTION: Perform complex (journey-level) administrative support or technical program assistance
work. Work involves disseminating information, maintaining filing systems, and performing internal administrative support
work. May train others. Work under general supervision, with moderate latitude for the use of initiative and independent
judgment.

ESSENTIAL DUTIES:

1. Prepare and disseminate information concerning division programs and procedures.

2. Prepare and distribute correspondence, reports, studies, forms, and documents.

3. Maintain filing and record-keeping systems.

4. Perform general office duties such as ordering supplies, performing basic bookkeeping work, and assisting with general
human resources work.

5. Respond to inquiries and interprets rules, regulations, policies, and procedures.

6. Plan meetings, conferences, and seminars.

7. Participate in the planning and execution of an agency program.

8. Compile and enter data for charts, graphs, databases, summaries, or reports.

9. Assist in the development of administrative or technical assistance policies and procedures.

10. Answer phone calls, routes incoming calls, takes messages, greets visitors, and directs visitors to the appropriate
staff.

11. Review and edit reports to ensure compliance with rules and regulations.

12. May research, compose, design, or edit division publications such as brochures, forms, and manuals or presentations.

13. May develop training materials.

14. Manages and maintains schedules and travel arrangements for supervisors/managers.

15. May train others.

16. May serve as notary public.

17. May research databases to assist agents in the identification of suspects.

18. May assist with case preparation for prosecution phase.

19. Attend work regularly and observe approved work hours in accordance with agency leave and attendance policies.

20. Perform other duties as assigned.


Qualifications


GENERAL QUALIFICATIONS and REQUIREMENTS:

Education – Graduation from a standard senior-high school or equivalent is required. Graduation from an accredited four-year college or university with a major in Liberal Arts, Business or Public Administration, Social Science, or a related field
is preferred.

Experience – Minimum of two (2) years’ progressively responsible work experience performing clerical/secretarial work
in an environment involving concentrated use of personal computers using word processing software is required. Work
experience in a criminal law enforcement work environment is preferred.

Substitution Note: Education of the type described may be substituted for the experience requirement on a year-for-year
basis up to a maximum of one (1) year. Note: thirty (30) semester hours is considered equivalent to one year of
education.

Licensure and/or Certification – Must possess a valid driver license from state of residence.

Regulatory knowledge – Working knowledge of, or the ability to rapidly assimilate information related to TXDPS, State
and Federal regulations, legislation, guidelines, policies and procedures. Knowledge (or ability to acquire such knowledge
in a timely manner) of Department functions, responsibilities, and organizational structure; of office practices and
administrative procedures.

Interpersonal Skills – Must demonstrate an ability to exercise poise, tact, diplomacy and an ability to establish and
maintain positive, working/professional relationships with internal/external customers.

Organizational and Prioritization Skills – Must be organized, flexible, and able to effectively prioritize in a multi-demand and constantly changing environment; able to meet multiple and sometimes conflicting deadlines without sacrificing accuracy,
timeliness or professionalism.

Presentation/Communication Skills – Must be able to construct and deliver clear, concise, and professional presentations
to a variety of audiences and/or individuals.

Research and Comprehension – Must demonstrate ability to quickly and efficiently access relevant information, and be
able to utilize and/or present research and conclusions in a clear and concise manner.

Analytical Reasoning/Attention to Detail – Must demonstrate an ability to examine data/information, discern variations/
similarities, and be able identify trends, relationships and causal factors, as well as grasp issues, draw accurate
conclusions, and solve problems. Knowledge of required format, style, and standards for correspondence, reports, forms,
memoranda, etc.

Technology (computers/hardware/software/operating systems) – Must possess appropriate levels of proficiency with
utilized software and systems and be able to learn new software/systems. Demonstrated proficiency with Microsoft Office
Suite (Word, Excel, PowerPoint, Outlook).

Confidentiality and Protected Information – Must demonstrate an ability to responsibly handle sensitive and confidential
information and situations, and adhere to applicable laws/statutes/policies related to access, maintenance and
dissemination of information.

Schedule and/or Remote/Telecommuting work and/or Travel – Availability for after-hours and weekend work is required.
Telecommute up to (2) days a week.

Testing is required for candidates to be considered to go before the oral interview board and will be notified via email
provided on application. Candidates must qualify on the DPS issued typing test with a minimum of 45 words per minute
net speed.

A DPS employee who is selected for a position in the same salary group and state title as their current position will be transferred with no salary change.

A DPS employee who is selected for a position in their current salary group with a new state title may receive an increase of no more than 3.4% over their current salary regardless of posted salary.

Salary is contingent upon qualifications and is subject to salary administration and budgetary restrictions.
