Job Summary
The following job description outlines the duties and responsibilities of an Dental Administrative Assistant:
- Schedule and plan meetings, ensuring that the director and other team members are available and that the meeting runs smoothly.
- Create and send out agendas, and memo's for all meetings, ensuring that all participants are informed about the topics to be discussed. Take meeting notes during meetings, recording important information and action items.
- A liaison between the director and departments to help communicate important information promptly.
- Screen and direct phone calls and distribute correspondence, ensuring that messages are relayed promptly and accurately.
- Responsible for preparing the KPI (Key Performance Indicators) for weekly meetings.
- Ensure that Standard Operating Procedures (SOPs) are updated as new processes are created, ensuring that team members are informed about changes.
- Notify the director of deadlines, ensuring that set objectives are completed on time.
- Help assist with planning and organizing any projects or new implementation.
- Update forms, user queries, and other information in Open Dental when needed.
- Update the Flex system when changes need to be made, such as adding new providers and templating their schedules.
- Submit requests for clinic translators, ensuring that patients who speak different languages are accommodated.
- Pull and listen to calls when complaints come in, gathering information that can be used to resolve the issue.
- Other administration duties as needed.
- High school diploma or equivalent.

- Minimum of 2 + years of experience as an Administrative Assistant in the medical or dental field preferred
