Job Summary:
This is a full-time position for a highly organized and detail-oriented Construction Project Administrator to join our team in our Punta Gorda office. The Project Administrator will be responsible for providing administrative support to Project Managers and preparing project documents. Additionally, the Project Administrator is responsible for organizing and attending project meetings, tracking project purchases and providing project administrative assistance. The ideal candidate will live in the immediate area of Punta Gorda, have excellent communication skills, strong attention to detail, and the ability to multitask effectively.
Responsibilities:
-Document control and organization of project subcontracts, submittals, RFI’s, change orders, and correspondence
-Ensure contracts, subcontracts, purchase orders, and change orders are executed and completed
-Provide job site administrative support including assisting with permits and mandatory notices
-Create and coordinate purchases through accounting system and monitor communication with field staff
-Complete and organize job files/plans for permanent and electronic storage
-Attend internal construction meetings to gain a better understanding of job-site activities and prepare meeting minutes
-Ensure office is operating by ordering necessary supplies, monitoring maintenance requests/orders, assisting with new employees/human resources, etc.
-Organize, set up and maintain project files, and logs
-Work with the project team to complete projects full cycle; implementation to closeout.
-Gather information for permitting including NOC’s, permit applications, plan submittals, subcontractor forms, etc. Working with counties on all necessary documents for permits, etc.
May be expected to handle other general office duties such as being back up on answering the phone and assisting vendors
Experience:
To be successful in this role, you should have the following qualifications:
- Administrative or project coordination experience within the construction industry (2+ years)
- Strong knowledge and experience using Microsoft Office (Word, Excel, and Outlook), Adobe Acrobat, Bluebeam and Procore
- Excellent organizational and time management skills
- Excellent communication and interpersonal skills
- Ability to multi-task efficiently, as this position would require the support of multiple projects
