Position Summary
The Check Processing Assistant plays an important role by providing administrative support to the company's Check Processing department. The candidate will be required to work in a high-security, high-risk environment where payment processing lockbox and receivable functions are performed daily. The main responsibility of this position includes, but is not limited to, performing operational and administrative essential functions.
Essential Functions
Operational Tasks
- Collect and sort bulk mail, log priority mail, open/sort payments.
- Identify loan numbers, instructions, and misrouted mail.
- Manage Check Desk includes communication and distribution of checks for pick up/drop off.
- Batching, scanning, data entry of payment batches.
- Perform multiple rounds of quality control for payment batches.
- Reformat and transfer data utilizing system tools (including JobScan and JobManage software applications, and i5 system).
- Initiate and build image file for bank deposit, ensure successful delivery, and confirm totals.
- Maintain and destroy archived deposits per Banking Regulations.
- Escalating issues with regards to support needs and troubleshooting.
- Provide responsive and courteous service to team and other departments.
- Perform other duties as assigned.
Administrative Tasks
- Recurring ACH file maintenance, including set ups, updates, and NOCs (notification of change) per NACHA.
- Prepare Fedex, including overnight mail, refund checks, and manual bank deposits.
- Process incoming correspondence, including distribution.
- Log and prepare department bulk mailings.
- Process all returned items, including misrouted correspondence, and rejected remittance.
- Provide check copies for internal/external audits and general Servicing requests.
- Scan and manage all documents related to Cashiering (reports, check copies, inbound faxes, , and mail).
- Ensure department office supplies are properly stocked (desktop supplies, envelopes, paper, etc.)
- Perform regular maintenance for mail opener and check scanner(s).
- Collect and verify check endorsements from management.
- Update department records via Scorecard.
Qualifications
- High school diploma or equivalent.
- Prior general administrative support experience is a plus.
- Capable of working in high risk, high security environment.
- Basic math skills required.
- Highly organized and detail oriented.
- Ability to work in a fast-paced, deadline-driven environment required.
- Thrives in both team-oriented and "individual task" driven environments.
- Basic proficiency with data entry, Microsoft Word, Excel, and Outlook.
- 10-key by touch required.
- Strong written and verbal communication skills.
- Flexible schedule; able to work remotely and onsite as needed.
- Professional and pleasant demeanor.
Supervision
- Close to moderate supervision of work, depending on experience
- Follows pre-defined processes and guidelines, escalating more complex issues for advice and resolution
- Executes standard core job responsibilities with only minor variation

Requirements
Physical: Work is primarily sedentary; occasionally walks and/or stands.
Manual Dexterity: Frequent use of computer keyboard and mouse.
Audio/Visual: Ability to accurately interpret sounds and associated meanings at a volume consistent with interpersonal conversation. Regularly required to accurately perceive, distinguish, and interpret information received visually and through audio, e.g., words, numbers and other data broadcasted aloud/viewed on a screen, as well as print and other media.
Environmental: Office environment - no substantial exposure to adverse environmental conditions.

Targeted Salary Range: $16.85/hr to $19.85/hr
