The Mission of Bellanca Aircraft, Inc. is to preserve the infrastructure of technical knowledge, the availability of parts and to offer skilled services necessary to maintain the airworthiness of the fleet of Cruisemaster and Viking aircraft. Furthermore to advance the operational safety of these aircraft by introducing programs to educate operators on best practice piloting techniques and maintenance requirements.
Job Summary
We are seeking a highly organized, motivated and detail-oriented Business Administrative Assistant to join our team. The ideal candidate will have excellent communication skills and the ability to multitask in a fast-paced environment. As a Business Administrative Assistant you will perform varied and diverse duties requiring knowledge of office systems and procedures. The Business Administrative Assistant is responsible for the day-to day operations of the business office as well as for supporting the business’ production, order fulfillment and customer support functions.
Responsibilities
- Manages the day-to-day operations of the company’s office and administrative functions
- Manages marketing and sales programs for two separate business units
- Monitors production schedules and coordinates with production department
- Accepts and processes customer orders
- Operates office machines such as copiers and scanners, FAX machines, phone and voice mail systems, and personal computers.
- Answers telephone calls and communicating with customers, supplies & remote employees via phone & email to answer questions, disseminate or explain information, and address complaints
- Manages office organization; document scanning; data entry
- Maintains and updates filing, inventory, mailings, and database systems
- Completes work schedules, manages calendars, and arranges appointments
- Additional responsibilities as business needs dictate and as assigned
Education & Experience
- High school diploma required. Some college is preferred.
- 5 years of directly-related office experience with two (2) years as an Office Manager or Administrative Assistant with a demonstrated increase in responsibilities over time is strongly preferred.
Skills
- Must have excellent communication skills including verbal and written
- Must have excellent time management and organization skills including establishing and setting priorities and multi-tasking and must be able to work effectively with minimal direction and oversight
- Must be able to work quickly, meeting deadlines, and must be able to work well under pressure
- Must have the ability to quickly understand assignments and create action plans to complete the tasks
- Must be able to use logic and reasoning to identify the strength and weaknesses of alternative solutions, conclusions or approaches to issues
- Knowledge of administrative and clerical procedures and systems such as database management, computer-based applications such as MS Office Word, Excel, Access, and PowerPoint
- Knowledge of principles and processes for providing outstanding customer service. This includes customer needs assessments, meeting quality standards for service, and evaluation of customer service.
- General knowledge and understanding of the challenges working in a small business
