JOB TITLE: Bookkeeper
EMPLOYEE CLASSIFICATION: Non-exempt, part-time
WORK SCHEDULE: Varies - Monday-Sunday, 8:30 a.m. – 5:30 p.m. Some evenings may be required.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Performs all regular monthly bookkeeping responsibilities timely and accurately, including the following:
a. Maintain general ledger and make necessary journal entries
b. Maintain accounts receivable and accounts payable journal and supporting records
c. Record cash, investment, and loan activity and reconcile to supporting records, including bank reconciliations
d. Maintain fixed asset and depreciation records
e. Analyze, record and reconcile grant revenues and expenses
f. Prepare monthly internal financial statements
g. Monitor revenues and expenses in relation to budget; analyze and report on material variances
h. Utilize and follow all museum policies and procedures and appropriate internal accounting control procedures
2. Performs all necessary year-end bookkeeping responsibilities in a timely and accurate manner, including the following:
a. Review year-end general ledger and make necessary journal entries
b. Work with independent auditors to facilitate audit process; supply trial balances, general ledger and requested supporting schedules to auditors
c. Close books after audit and rollover to new fiscal year
d. Assist with preparation of annual budget and allocation of budgeted revenues and expenses by month
e. Assist with grant reporting as requested
3. Verifies and processes payroll time sheets, including data entry into ADP payroll system and appropriate journal entry into QuickBooks system
4. Pays bills weekly after checking for supporting documentation and correctly charges the appropriate accounts for the expenditures
5. Files paid bills accordingly
6. Balances and replenishes petty cash as necessary
7. Transports all deposits to bank, verifies receipts, records documentation
8. Maintains proper amount of change for cash register needs
9. Enters daily receipts into QuickBooks
10. Enters daily statistical information into Excel spreadsheet
11. Pays monthly sales tax to the State of Michigan
12. Processes monthly credit card statement fees and makes appropriate entries in QuickBooks
13. Place orders for merchandise and consumables to be sold in the Museum’s gift shop Performs associated data entry into QuickBooks for inventory control from packing slips, invoices, etc. Assists with pricing of gift shop merchandise
14. Performs additional tasks as assigned by the Executive Director
15. Organizes and maintains all financial records related to above duties
QUALIFICATIONS:
1. High school diploma or GED required. Associates or Bachelors Degree preferred in business, finance, or accounting
2. Minimum of two years’ experience as a bookkeeper or equivalent, including maintaining a general ledger and preparing financial statements
3. Customer Service experience required; experience working with children and families or retail operations preferred
4. Ability to react positively in a fast paced environment and make good decisions under pressure
5. Ability to take direction well and work without constant supervision
6. Basic computer and financial skills necessary; must be proficient in QuickBooks, Microsoft Excel, Microsoft Word and Outlook
7. Must have the ability to count money, operate a cash register, reconcile receipts, and gather written and quantitative visitor information
8. Strong interpersonal and communication skills with the ability to communicate in a positive and effective manner with young children (ages 0-10), adults, large groups, Museum staff, and volunteers
9. Must be motivated, organized, self-directed, and service minded
PHYSICAL DEMANDS
1. Work is performed in an office environment and out of doors (up to 40%)
2. Must be able to climb, bend, stoop and reach
3. Must be able to walk and/or stand for long periods
4. Working in confined spaces is sometimes required
5. Must be able to push, pull or lift at least 25 pounds
6. Must be able to read and write various forms of material and recognize symbols and colors
