Under the supervision of the Credit and Construction Manager, provides administrative support to the Bank's Small Business and Commercial Lenders in numerous aspects of the loan process. The incumbent works closely and assists lending officers to ensure that all necessary documents and compliance components are collected throughout the pre-closing process. In addition, the incumbent will assist lending officers in both the coordination of the closing process and clearing any post-closing exceptions.
Responsible for the preparation, coordination, and prioritization of the overall workflow in connection with Small Business and Commercial loan activity. Assist lenders as needed with various customer servicing tasks.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Verifies accuracy of commitment letters, credit approvals and closing documents.
  • Obtains and reviews borrower information from third party reporting services such as FIS/e-funds, AML/Patriot Act, First Advantage, Environmental and Flood Searches.
  • Inputs Commercial Loan applications into Laser Pro and/or other loan origination platforms.
  • Determines and inputs information on HMDA and CRA reportable loans.
  • Communicates effectively and professionally with customers, attorneys, appraisers, co-workers, and teammates.
  • Creates and reviews documents for new loan closings, annual line of credit reviews, loan modifications, and loan extensions in a timely and accurate manner.
  • Compiles Legal Documents file for transmission to Loan Servicing.
  • Notifies Loan Servicing to update core system with customer's current information and any new loan information.
  • Files UCC-1 and RMV-1 Applications with necessary State departments.
  • Notifies Loan Servicing to wire funds for payoffs to other institutions.
  • Requests proper General Ledger pertaining to loan proceeds commitment fees and expenditures related to customer's loans.
  • Responds to customer's requests as to advances, payments, and transfers.
  • Participates in periodic pipeline meetings. Assists in creating and maintaining accurate and timely pipeline reports.
  • Creates and updates Standard Operating Procedures.
  • Reviews reports daily pertaining to customer's checking account based on daily activity for overdrafts (NSF Items Report).
  • Payment of invoices pertaining to outside vendors and service providers,
  • With coordination from lenders, corresponds with customers regarding overdrafts, past due loan payments, missing loan documents, loan renewals, insurance, updated financial information and other customer account management needs.
  • General administrative tasks including typing, faxing, copying, ordering of office supplies, telephone correspondence, filing etc.

COMPLIANCE
Maintain an excellent understanding of applicable regulations and laws including but not limited to: Fair Lending, Home Mortgage Disclosure Act (HMDA), Flood Disaster Protection Act, Fair Credit Reporting Act (FCRA), ECOA/Regulation B , Regulation Z (Truth in Lending), Real Estate Settlement Procedures Act (RESPA), Community Reinvestment Act (CRA), Bank Secrecy Act, Regulation P (Privacy of Consumer Financial Information), Service Members Civil Relief Act of 2003, Unfair, Deceptive and Abusive Acts and Practices (UDAAP), etc. Maintain an up to date understanding of bank policies and procedures as they relate to compliance.

EDUCATION and/or EXPERIENCE
Associate degree or graduate of a paralegal program plus one to two years related experience.
TECHNICAL SKILLS
Good knowledge of Microsoft Office applications including general and intermediary Word and Excel skills for creating letters, templates, and spreadsheets. Familiarity with Fiserve, Nautilus, and/or nCino a plus.
LANGUAGE SKILLS
Ability to write grammatically correct reports, business correspondence and procedure manuals. Ability to respond to common inquiries from customers, or members of the business community. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, escrow, percentages.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
