Job Summary
Under the general direction of the Support Service Manager, performs administrative duties in support of all Sheriff’s Office functions. performs a variety of fiscal support functions and maintains bookkeeping records for the efficient operation of the Sheriff’s Office.
Primary Duties & Responsibilities
Civil Process Bookkeeper
- Manage mortgage foreclosures, which includes posting adjournments, holding the auction, and processing the sales.
- Review served civil papers for accuracy and forward to various courts and attorneys.
- Prepare Civil Process billing and record payments.
- Assist General Bookkeepers as assigned.
General Bookkeeper
- Prepares transmittal information on inmate bonds, fines, and costs for the courts and transmits monies collected by the Sheriff Office.
- Verifies daily totals, balances, transactions, and prepares and makes deposits for the Sheriff’s Office.
- Audits and verifies accuracy of monetary transactions performed by sheriff employees.
- Manage inmate accounting including deposits, withdrawals, and inmate balances.
- Responsible for invoicing inmates for their housing expense.
- Prepares Department of Corrections reports and generates invoices.
- Processes inmate account requests.
- Assist Civil Process Bookkeeper as assigned.
Other Duties and Responsibilities
- Posts medical bills for inmates, deducts monies from accounts payable for payment research, and reconciles relevant statements.
- Performs other duties as assigned.
Qualifications
- Knowledge normally acquired through the completion of specialized training in general accounting practices and principles
- One to two years of experience in an accounting area
- Oral, written, and interpersonal communication skills including customer service skills
- Proficient in Microsoft Office (including word processing, spreadsheets, and database software)
- Ability to balance competing demands for time and prioritize workload to meet deadlines
- Ability to work effectively with individuals and groups from a variety of identities, cultures, backgrounds, and ideologies with a commitment to equity and inclusion
Civil Process Bookkeeper
- Knowledge in civil process and FOIA laws helpful.

Working Conditions
Work is generally performed in a standard office setting on-site. Occasional travel may be required. Physical ability to occasionally transport items weighting up to thirty (30) pounds. Incumbent is frequently required to sit for extended periods of time. Incumbent is periodically required to perform repetitive movement and/or stand for extended periods of time.
