Position Summary:
Hillwood is currently seeking an Assistant Property Manager to assist with the management of 20 million square feet of industrial assets throughout the US. The ideal candidate will provide support to Property Management Director and appointed Property Manager with a focus on day-to-day portfolio operations and customer service. Ideal candidate would have industrial management experience, but we are seeking a self-starter who can work independently and wants to be a part of the growth and development of our organization. Responsibilities:
Operations:
- Handle and respond to all tenant communication within a reasonable time frame.
- Conduct & facilitate routine property inspections (local/national) to prevent/identify problems and exposures.
- Schedule routine building repair and maintenance services (fire, landscaping, etc.).
- Perform comprehensive building and property review once each month.
- Ensure compliance with codes, regulations, and governmental agency directives in the different U.S. Markets.
- Competitively bid all service contracts. Typical contract services to be managed include:
- Landscape/irrigation maintenance
- Trash removal (if applicable)
- Window washing
- Fire Monitoring, Fire sprinkler and pump testing
- Roof inspections
- Snow removal
- Monitor performance quality levels of all service vendors.
- Accept “after-hours” calls and dispatch appropriate contractor. (per rotation schedule)
- Attend final shell and TI punch list walk with General Contractor and Development Director on completed projects. (often requires air & overnight travel)
Administration:
- Coordinate repairs, maintenance, and reporting with hired third party management teams.
- Work with hired managers regarding open items while traveling to properties.
- Continually audit all on-boarding and off-boarding checklists while communicating with respective PM to ensure information is up to date until completion.
- Interpret and administer tenant lease requirements during tenant’s occupancy.
- Coordinate rent collection efforts to maintain current receivables.
- Obtain and review insurance certificates provided by tenants to ensure compliance per lease requirements.
- Set up annual warranty walk with General Contractors on shell or tenant finish-out projects.
- Assist in creating and implementing tenant retention programs.
- Create and manage daily work orders on software program for building/tenant issues.
Accounting:
- Review A/R reports throughout the month and institute/manage the necessary collection efforts for internal reporting requirements.
- Actively participate in developing annual operating budgets for each building. (Bid solicitation, budget input and analysis with designated PM oversight)
Acquisitions/Dispositions:
- Interface with internal Transaction team, on all portfolio acquisition and disposition transactions.
- Assist with Due Diligence requests, including SNDA, Estoppel circulation to tenants.
- Assist in coordination of Building Inspections, appraisal visits and tenant interviews.
Required Skills:
- Strong verbal and written communication skills.
- Effective organizational skills in planning, prioritizing, and time management.
- Positive team focus with effective collaboration skills.
- Strong customer service skills and related work experience in real estate management.
- Knowledge of accounting/budgeting software preferred, Yardi, MRI, JD Edwards and Kardin.
- Comprehension of building mechanical systems and building construction preferred.
- Ability to assist with forecast and budget for property expenses and discuss yearly expense reconciliations with the customer.
Education and Experience:
- Bachelor’s Degree preferred, not required
- 2-4 years of Commercial Property Management experience, Industrial experience preferred.
