The Administrative Assistantis responsible for supporting business operations through administrative tasks, as well as providing courteous and professional direct interaction with prospective and current clients. This role interacts with every aspect of the business and is the key to achieving effective communication across the organization.
ESSENTIAL RESPONSIBILITIES
- Providing administrative support for the Leasing Agent and Property Manager
- Handling inquiries via phone, email and walk-ins
- Promptly respond, pursue, and resolve customer and vendor issues proactively
- Maintaining the prospective tenant database
- Updating the company website with available rental properties and placing advertisements
- Sending reports to tenants and monthly reports to owners
- Assisting the Property Manager with applicant courtesy calls
- Assisting with coordinating among vendors, tenants and landlords with maintenance and repairs, ensuring the timely and quality of each work
- Adhering to all procedures required in this role
- Providing feedback for and participating in the continuous improvement of procedures and processes
- Other duties as assigned
The Administrative Assistantis highly organized with strong time management skills and an understanding of prioritization. Naturally driven to provide excellent customer service and instill trust, the Administrative Assistant is an effective communicator with attention to detail, a sense of urgency, and a professional demeanor.
REQUIREMENTS
- Two years’ experience in administrative support (Real Estate Preferred)
- Excellent communication and interpersonal skills with a customer service focus
- Exceptional analytical and problem-solving skills.
- Attention to details, accuracy and multi-tasking is essential.
- Proficiency using PC, internet, email, Google and Microsoft Office applications
- Ability to learn industry-specific software programs.
- Ability to work cooperatively and collaboratively within a team.
- Ability to act and operate independently with minimal daily direction from manager to accomplish objectives.
- Ability to work and react quickly in a fast-paced environment.
- Must have the ability to build and maintain strong relationships with clients.
Bilingual English and Spanish preferred
Compensation: DOE
Compensation depends on experience, starting range $17.50-$18.50/hr. After a three-month probationary period, PTO accrues up to 5 days annually.
