Position Introduction
About the job:
The Larkspur Community Center-Home of the Bend Senior Center and the Juniper Swim & Fitness Center provide a variety of activities to meet the needs and interests for the community both today and in the future. The Adult Enrichment/Older Adult Social Program Supervisor is charged with providing specific programs and services, special events, as well as social gathering opportunities to meet the needs and desires of a multi-generational population with a focus on Older Adults. BPRD preschool, childcare, enrichment programs, special events and senior social opportunities are intended to promote individual growth, social awareness, and community development through the coordination, supervision and development of recreation experiences The position involves supervising and managing all aspects of programs and activities and providing leadership for operations including activities, program, staff, training, budget, partnerships, and responding to community and user expectations. Position requires a flexible schedule for planning and oversight for programs and events including some evening and weekends.
Description & Primary Duties
A day in the life:
Program Planning & Scheduling
  • Lead and oversee the development, implementation and evaluation of specific Adult Enrichment including, "With A Child" programs, Older Adult Social Programs, special events, intended to meet the needs and desires of the multi-generational population with an emphasis on adults and Older Adults.
  • Lead and oversee childcare and preschool programs at Juniper Swim & Fitness Center including programming, staffing, schedules, registration and related recorded program needs. Identify and respond to community needs, program trends and district strategic programming and outreach goals.
  • Work collaborative with Center Supervisors and Recreation Services Manager to coordinate and oversee special events and community engagement opportunities such as the Health & Wellness Fair, St Patrick's Day Dinner Dance, community events and concerts.
Marketing & Outreach
  • Work collaborative with Facility Supervisors and Recreation Services Manager to communicate market and promote facilities and programs,
  • Work closely with community relations, the district marketing & technology managers & coordinators to create and distribute promotional materials such as newsletter(s), flyers, social media content, and electronic schedule boards.
  • Communicates changes in programs, procedures or focus with subordinates.
  • Provide ongoing promotion of programs and special events as well as maintaining a database of referrals to other agencies and resources.
  • Play a leadership role in the development of assigned program guide sections, registration software entry, program registration, website pages, and online calendars.
Personnel Management & Oversight
  • Manages and oversees all staff in program area, including providing direction and leadership to staff and volunteers.
  • Responsible for staff scheduling and reviewing time and attendance, including managing leave request and time entry approvals.
  • Leads and oversees the development, implementation, and evaluation of assigned program to meet district goals.
Community Relations/Partnerships & Collaborations
  • Initiate and nurture ongoing healthy work relationships with community organizations, community partners and the public, by attending community meetings, answering general inquiries, responding to concerns and capitalizing on opportunities to collaborate. Serve or participate on community and district committees as assigned.
  • Ongoing outreach and interactions with community members, groups and organizations.
  • Coordinate and oversee agreements with user groups, independent contractors, vendors, etc.
  • Respond to staff and public questions, concerns, requests in a timely manner.
Fiscal and Organization Management
  • Assist in the development and management of budgets and monitor and ensure financial performance.
  • Oversee contractual agreements with user groups, independent contractors, vendors, etc.
  • Ensure compliance with safety, health, personnel, industry and other regulations, including maintaining appropriate records and documentation.
  • Purchase equipment and supplies in accordance with established policies and procedures.
  • Provides for the ongoing care and maintenance needs of assigned equipment and resources, including the maintenance of required records and documentation.
  • Maintains a safe environment for staff and for participants.
  • Organizes, maintains and purchases program area supplies and equipment. Makes recommendations for larger purchases to recreation services manager.
  • Promotes collaboration efforts with other program areas, departments, agencies, community organizations and businesses.
  • Responds to questions, concerns and complaints regarding program service, staff or operations.
  • Plans, identifies, recommends, and prioritizes opportunities for continuous improvements and/or specific enhancements for the district and the community.
  • Communicates changes in programs, procedures or focus with subordinates.
  • May represent the district at community events and engagements.
  • May be assigned special projects as needed.
  • Acts as a mandatory reporter; reports incidents of child abuse/neglect.
  • Performs other job-related duties as assigned.

Knowledge, Skills and Abilities

  • Work independently with minimum direction while also working as part of a team and collaborating with others; and
  • Demonstrate a high attention to detail.

What we're looking for:
Education, Experience, and Training:
  1. Associate's degree or two years of related college coursework; AND
  2. Three (3) years of experience in area of responsibility and/or performing similar tasks; AND
  3. One (1) year of supervisory experience required, OR
  4. Any satisfactory combination of education, experience and training.
License and Certifications:
  1. Possession of, or ability to obtain within 30 days of hire, a valid Oregon driver's license.
  2. Some positions in this classification may be required to have basic first aid and CPR training and certification.
  3. Other specialty licenses and certifications may be required depending on program area of assignment.

Additional Information
Supervision Received:Reports directly to a Manager 1. Follows standard processes and procedures without supervision but confirms changes to standard practices and significant decision in advance.
Supervision Exercised:Provides direction and supervision to staff which may include recruiting, hiring, training, evaluating and managing performance, developing goals, providing discipline, responding to grievances, and effectively recommending terminations responsibilities. May provide guidance and consultation to other district staff, contractors, and volunteers.
Working Conditions:
  • Duties may be performed both indoors and outdoors with environment exposures, including excessive temperatures and inclement weather.
  • Some program areas may subject the employees to atmospheric conditions; noise; vibration; and oils.
  • Work schedule may be varied and includes early mornings, evenings, weekends and holidays. Some positions require the ability to work a rotating on-call schedule and may require working during off duty hours for emergency callouts.
  • Remain in a stationary position (sitting or standing) for extended periods of time, move about the office occasionally.
  • Physical exertion includes frequent walking, bending and the ability to lift and carry up to 50 pounds unassisted, pushing, pulling and kneeling.
  • Some positions may require daily standing and walking over uneven terrain, such as parks and trails, with up/down inclines, paved and unpaved surfaces for surfaces.
  • Ability to work and maintain focus in a work environment with moderate noise (i.e., working around others making periodic phone calls or having conversations) and with frequent interruptions.
  • May be required to travel to locations in, around, or outside the greater Bend area, including travel to district sites.
  • Perceiving the nature of sounds at normal speaking levels with or without correction and having the ability to receive detailed information through oral communication and making fine discriminations in sound.
  • Making substantial movements (motions) of the wrists, hands, and/or fingers.
  • Ability to maintain sustained concentration on computer screens; use keyboards and a variety of peripherals.
