Role summary:
The Executive Administrator to the CEO is responsible for supporting the CEO, managing office operations, facilitating communication with stakeholders in Mexico City, and serving as a liaison between the executive team members and staff.
Duties & Responsibilities- Provide comprehensive administrative support to the CEO, including managing calendars, scheduling appointments, and coordinating meetings and travel arrangements.
- Serve as the CEO's interpreter for meetings, conferences, and communications with shareholders and sister companies based in Mexico City and Europe.
- Act as a liaison between the CEO and executive team members, facilitating communication, coordination, and follow-up on key initiatives and decisions.
- Collaborate with department heads and staff to ensure effective communication and alignment with organizational goals and priorities.
- Prepare and distribute agendas, meeting minutes, and action items for executive meetings, ensuring clarity and accountability.
- Coordinate special projects and initiatives as assigned by the CEO, providing research, analysis, and documentation support as needed.
- Manage office operations, including supplies, equipment, facilities, and vendor relationships, to ensure efficient functioning and a positive work environment.
- Develop and implement office policies and procedures to optimize workflow, productivity, and compliance with company standards.
- Handle sensitive and confidential information with discretion and professionalism at all times.
- Travel as required for meetings and events, which may include occasional trips internationally.
- Bachelor's degree preferred, or equivalent combination of education and experience.
- Minimum of 10 years of experience in executive support, office management, interpretation, and liaison roles, preferably in a multinational environment.
- Fluent in Spanish as a second language, with exceptional verbal and written communication skills in both English and Spanish.
- Proven experience as an interpreter, with the ability to accurately convey messages in both languages and facilitate effective communication.
- Strong organizational skills and attention to detail, with the ability to prioritize and manage multiple tasks simultaneously.
- Proficient in Microsoft Office Suite and other relevant software applications.
- Ability to work independently and take initiative, with a proactive and problem-solving mindset.
- Effective communication and interpersonal skills, capable of working with diverse teams and stakeholders.
- Excellent interpersonal skills, with the ability to interact professionally with individuals at all levels of the organization.
- Previous experience in the healthcare industry or a related field is preferred but not required.
