We are currently looking for a Temporary Full-Time Administrative Specialist to join our team for an assignment, from March 11 to April 26, in our Chico, CA office.
The ideal Administrative Specialist candidate for this role is an efficient and comfortable individual who can manage their own workload while working with multiple people. They are resourceful, possess excellent problem-solving skills, and have a genuine passion for organization. This candidate understands that providing exceptional customer service is of utmost importance and takes great pride in the level of service they offer to our clients.
The Administrative Specialist should expect to:
Under moderate supervision and with latitude for the use of initiative and independent judgment, the Administrative Specialist is responsible for performing advanced and complex administrative duties including the following:
- Support client service professionals with administrative tasks, such as drafting letters, running reports, communicating with clients, and scanning documents for filing or processing.
- Monitor reports and follow up with clients to ensure that returns are filed on time.
- Handle front reception, answering phones, and direct calls for multiple locations.
- Provide administrative support by executing scanning and autoflow tasks, maintaining cleanliness and stock in break rooms, and organizing and managing files efficiently.
- Preparing and meter postal mail.
- Schedule and organize office meetings, including making catering arrangements, set up and cleanups.
- Serve as a support role in finalizing professional documents to be delivered to clients.
- Other administrative or firm tasks based upon interest and need.
What you will need for this position:
- 1+ years of experience serving in an administrative support role (professional services environment preferred)
- Comfortable navigating new technology tools and demonstrated proficiency in MS Windows, Adobe and Office suite. The role requires the ability to quickly grasp and become proficient in a variety of software applications relevant to the position. Candidates should demonstrate a willingness to learn and adapt to new technologies as needed.
- Demonstrated time management skills, ability to prioritize, and adapt to change.
- Excellent oral communication and organizational skills.
- Desire to be a self-starter who will see opportunities to add value beyond an assignment and will run projects through to completion.
