About the Position: 

Faculty Affairs and Records strives to provide services and support to faculty, administrators, and staff regarding the implementation of campus policies and procedures for the evaluation of academic employees. It is our goal to administer academic employment processes effectively and efficiently and to serve as a resource for faculty throughout their Cal State Fullerton careers. We seek an exceptional individual to join our team as the Faculty Retention, Tenure, and Promotion Analyst (Administrative Analyst/Specialist-Exempt I).  The ideal candidate in this role should have a positive attitude and an active, energetic mind characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.

Under the supervision of the Executive Director of Faculty Affairs and Records (FAR), responsible for providing administrative, analytical, and technical expertise in the implementation. monitoring, and improvement of faculty evaluation and employment records programs. Serves as a subject matter expert on Retention, Tenure, and Promotion (RTP) evaluations and Lecturer evaluations. Executes evaluation programs in online evaluation system, assures compliance, analyzes data, and produces outcome reports. Provides customer service and support to campus stakeholders, FAR staff, and the Student Opinion Questionnaire (SOQ) Information Technology (IT) Liaison. Provides support to the FAR Executive Director.

Implement and monitor the RTP and Lecturer evaluation processes. Create cases and committee assignments in the electronic evaluation system and communicate with candidates and reviewers. Run reports to track evaluation workflow and communicate with reviewers to assure deadline compliance. Oversee added materials processes and communicate with all involved parties by fielding candidate requests, preparing for the approval process, and tracking the status of outcomes. Coordinate and support the work of the Faculty Personnel Committee (FPC) by communicating with the Chair, preparing review cases, meeting agendas, and evaluations for distribution to candidates. Compose summary memos to the Office of the Provost on FPC cases. Create lnterfolio reports to generate data.

Utilize data analysis tools (frequency distributions, pivot tables, clustered charts, etc.) to produce annual summary reports of RTP and Lecturer evaluation processes. Anticipate problems and issues with evaluation workflow. Work with highly sensitive and confidential data under stringent timelines. Support campus stakeholders in faculty evaluation processes. Occasional travel/training for evaluation software.

Serve as back-up to the Student Opinion Questionnaire (SOQ) IT Liaison. Assist SOQ IT Liaison in fielding, processing, and reporting online student evaluation forms. Support Department Chairs and Department Personnel Committee members in evaluation process. Assist in the creation and distribution of instructional materials for faculty evaluation processes. Assist in the development and delivery of training workshops and open labs. Assist FAR staff in supporting faculty preparing evaluation portfolios and evaluators reviewing portfolios. Assist FAR staff in updating of global spreadsheets. Participate in cross-trainings as necessary to support the operational readiness of FAR department. Provide timely, thorough, and thoughtful customer service. Develop and maintain collegial relationships. Other duties as assigned.

Essential Qualifications

Bachelor's degree from an accredited four-year college or university and/or the equivalent training and administrative work experience involving the study, analysis, evaluation, development or improvement of administrative policies, procedures, practices, or programs plus two years of related experience. Working knowledge of and the ability to apply standard theories, principles, practices, and techniques applicable to the program or administrative specialty to develop conclusions and make recommendations. Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program or administrative specialty. Working knowledge of operational and fiscal analysis and techniques. Ability to take initiative and plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.  Skilled in research, development, and evaluation of policies and programs. Ability to collect, evaluate, and interpret data to develop sound conclusions and make appropriate recommendations. Expertise investigating and analyzing problems with broad administrative impact and implications. Ability to anticipate problems and address them proactively. Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form. Ability to train others on new skills and procedures and provide lead work direction.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.  

Preferred Qualifications

Master's degree from an accredited four-year college or university. Experience using data analysis software and advanced features of Microsoft Excel. Experience transitioning complex data into user-friendly format. Experience creating and analyzing database reports in PeopleSoft and Interfolio. Experience using data analysis software and advanced features of Microsoft Excel. Previous or current university work experience of sensitive and confidential matters including analysis and interpretation of policies in a collective bargaining environment. Prior experience working with faculty evaluations in a higher education setting or Faculty Affairs office.
