Mission Pediatrics is seeking an Administrative Specialist I - Provider Support to join our dynamic team. In this role, you will play a critical role in ensuring the efficient functioning of clinic operations and providing support to our providers across multiple clinic locations. You will have the opportunity to work closely with our Medical Director and Assistant Medical Director, serving as their "Executive Assistant." Additionally, you will collaborate with administrative staff at different clinic locations to ensure consistency in processes and assist in the implementation of company-wide administrative policies and procedures. Primary Tasks:
1. Provide direct support to the Medical Director and Assistant Medical Director in the capacity of “Executive Assistant.
2. Act as the first point of contact for internal and external inquiries and then complete tasks based on said inquiries.
3. Assist in identifying and assessing provider needs and carrying out tasks to meet said needs.
4. Assist in managing and administering the Physician’s Resident and Student Program.
5. Assist in the technical management and problem-solving of the Ring Central System.
6. Guide and assist providers during on-boarding, off-boarding, continuing education and/or training programs.
7. Assist in administering and disseminating location schedules in conjunction with the Scheduling Team.
8. Coordinate and manage provider calendars, ensuring optimal utilization of their time.
9. Assist physicians, nurse practitioners and physician associates with administrative tasks, such as documentation and correspondence.
10. Act as “first line of defense” for providers with matters that they determine need special attention.
11. Serve as the liaison between provider and staff, develop solutions, and monitor its effectiveness.
12. Manage incoming and outgoing correspondence, including emails and phone calls.
13. Maintain and update clinic databases and records.
14. Serve on various committees and teams to provide support to providers in: preparation for meetings, conducting meetings and post meeting activities/requirements.
15. Communicate and carry-out tasks with patients, 3rd party vendors, EMR, LMS and other individuals in relation to the practice and providers.
16. Participate and assist in the resolution of matters regarding patients, peers, providers and/or staff.
17. Perform other duties as assigned.
Secondary Tasks:
1. Collaborate with administrative staff at different clinic locations to ensure consistency in processes.
2. Assist in the implementation of company-wide administrative policies and procedures.
3. Handle administrative tasks for the entire clinic network.
4. Generate reports on clinic performance and administrative efficiency.
5. Analyze data to identify areas for improvement in administrative processes.
6. Provide regular updates and insights to leadership.
7. Provide training and support to ensure adherence to company policies.
8. Foster a collaborative and efficient administrative team environment.
9. Conduct regular audits of administrative processes to maintain quality standards.
10. Implement corrective actions to address any identified issues.
11. Work towards continuous improvement in administrative operations.
12. Assist Regional Director assistant as needed and cross cover in their absence.
13. Perform other duties as assigned.
Hourly Range: $18-$24 depending on experience.
