About the Role:
We are looking for a Administrative Assistant/Receptionist to join our growing team in St. Louis, MO. As the Receptionist/Administrative Assistant, you will perform a variety of administrative and support duties for the President of Project Development and his team. Work performed will include a broad range of responsibilities involving confidential or technical information such as composing/preparing routine and non-routine correspondence, furnishing information to internal and external parties, preparing reports and presentation material, processing invoices and payment requests, and maintaining an electronic and paper file system. May exercise considerable initiative, judgment and discretion in completing assignments.Position entails communicating with all levels of staff including, engineering, accounting, and senior management; will also routinely communicate with outside guests and vendors.
ResponsibilitiesWhat you will do:
- Manage the front desk and main LS Power phone line
- Assist Office Manager in daily office operations
- Prepare and submit vendor invoices for approval
- Assist with expense reports as requested
- Assist with time reporting as requested
- Compose and prepare correspondence and mailings
- Maintain inventory and order all office supplies including beverages and snacks
- Daily maintenance of break room equipment
- Meeting Arrangements:
- Manage the corporate calendar
- Clear guests utilizing office protocols
- Receive and direct visitors to appropriate conference rooms
- Make specific arrangements for meetings (such as providing refreshments, ordering breakfast and/or lunch, set up the video conference system when required, etc.)
- Coordinate travel arrangements when necessary, including car service and/or hotel for guests
- Sign for and distribute mail and shipments, prepare outgoing mail and shipments
- Notarize documents
- Operate a variety of office equipment including copier/printer, postage meter and binding machine
- Assist Office Manager with office celebrations
- Purchase gifts on behalf of the company as requested
- Perform miscellaneous job-related duties as assigned
Qualifications
