We are looking for a responsible Administrative Assistant/Office Admin to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to the owner and employees, assisting in daily office needs and managing our company’s general administrative activities. The ideal candidate should have excellent oral and written communication skills and be proficient in MS Outlook, Word, Excel, PowerPoint and CRM Systems.
The responsibilities for the position will vary depending on the skills of the individual hired.
Responsibilities include, but are not limited to the following:
Manage Phone Calls, Customer queries
Manage emails, calendars etc
Manage CRM and Ticketing system
Manage purchases, orders and Inventory
Billing and Manage Accounts Receivables, Accounts Payables, Collections, Bookkeeping
Create Proposals and Manage and follow-up on them
Manage and track new Leads and manage Marketing activities
Customer Support: Initial contact for most client support calls, M-F, 8 am-5 pm. Create IT service tickets and dispatch engineers. Monitor service desk status and escalated as needed. Handle customer service questions and issues
Assist the Owner in day-to-day operations
Any other duties assigned
Skills, knowledge, experience, and requirements:
- 3 plus years of relevant administrative experience
- Professional demeanor and appearance.
- Reliable. Great attendance record.
- Excellent customer service and communication skills (written and verbal).
- Strong organizational/teamwork skills. Collaborative, even under stress.
- Love working with people. Experience with customer service is a plus.
- Organized and attention to detail.
- Proficient in MS Office, QuickBooks.
- Comfortable learning our professional services and other new software for the business.
