Schedule: Monthly Rotating Schedule
Opening Shift: Monday to Friday 730 am to 430pm.
Mid Shift: Monday to Thursday 10am to 7pm & Friday 8am to 5pm
Closing Shift: Monday to Thursday 130pm to 1030pm (latest 11pm) & Saturday 7am to 4pm (Off Fridays)
GENERAL FUNCTIONS:
The role of the Administrative Assistant/Front Desk in a college setting is vital as it serves as the primary point of contact for students, guests, visitors, and prospective students. As the first impression of the college, the Administrative Assistant/Front Desk plays a crucial role in upholding a professional front office environment. Alongside maintaining a welcoming atmosphere, this position also provides entry-level administrative and clerical support to ensure the smooth functioning of the College. Reporting directly to the Director of Student Affairs, the Administrative Assistant/Front Desk acts as a pivotal link between various stakeholders, contributing to the overall efficiency and effectiveness of the College's operations.
MINIMUM DESIRABLE QUALIFICATIONS AND EXPERIENCE:
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Always maintain a professional and positive environment in the front office, promptly notifying a supervisor of any disruptive behavior by students, employees, or the general public.
- Effective interface with visitors, guests, the general public, and students.
- Receive, screen, and redirect all incoming telephone calls to appropriate personnel. Ensure that important and urgent messages are promptly relayed to the appropriate individuals.
- Maintain awareness of employees' schedules, noting arrival and departure times, meetings, and breaks.
- Direct students with inquiries to the appropriate personnel, providing guidance and assistance as needed.
- Receive and distribute incoming mail, ensuring the availability of an ample supply of postal stamps and necessary supplies for the timely distribution of outgoing mail.
- Provide clerical support, including tasks such as typing letters, memos, meeting minutes, and other requested administrative documents.
- Assist in the admissions process as directed by the Director of Student Affairs
- Provide support to other departments as assigned by the Director of Student Affairs.
- Aid in the coordination of orientations, campus activities, graduation ceremonies, and similar events.
- Exhibit exceptional attention to detail and a strong sense of responsibility in carrying out assigned duties.
- Perform any other duties as directed by the Director of Student Affairs.
EDUCATIONAL EXPERIENCE AND QUALIFICATIONS
- High School Diploma degree required, Associates degree or higher preferred.
- A minimum of three years of previous experience in administrative or clerical roles is desirable.
- A minimum of two years of customer service experience is preferred.

- Possesses strong oral and written communication proficiency.
- Maintains a professional approach at all times, including appearance, demeanor, and attitude, while prioritizing tasks, multitasking, performing well under pressure, and meeting deadlines.
- Proficiency in utilizing Microsoft Office suite.
- Willingness and ability to work a flexible schedule as required.
- Strong work ethic, coupled with creativity and initiative.
