We are seeking an experienced and highly organized Administrative Assistant to support our Sales Partner. The Administrative Assistant to the Sales Partner will play a crucial role in managing administrative tasks, ensuring efficient communication, and providing comprehensive support to our Sales Partner. The ideal candidate will have excellent organizational skills, strong attention to detail, and the ability to handle sensitive information with discretion.
Core Responsibilities:
- Provide administrative support to the Sales Partner, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Act as the primary point of contact between the Sales Partner and internal/external stakeholders.
- Draft and edit emails, memos, reports, and other correspondence on behalf of the Sales partner.
- Handle phone calls and inquiries, ensuring prompt and professional responses.
- Organize and coordinate executive meetings, including preparing agendas, taking minutes, and distributing relevant materials.
- Ensure meeting rooms are set up and equipped as needed.
- Create and maintain organized filing systems for documents, reports, and confidential information.
- Prepare and proofread documents for accuracy and clarity.
- Arrange domestic and international travel, including flights, accommodation, and transportation.
- Prepare travel itineraries and coordinate logistics.
- Assist in planning and coordinating training events, conferences, and retreats.
- Track and reconcile executive expenses, ensuring compliance with company policies.
- Other tasks as assigned
Qualifications:
- Proven experience as front desk representative, agent or relevant position
- Familiarity with office machines (e.g. fax, printer etc.)
- Intermediate skill level at Excel or Google Sheets
- Strong communication and people skills
- Good organizational and multitasking abilities
- Problem-solving skills
- Customer service orientation
- High School diploma; additional qualifications will be a plus
