Job Summary:
The Administrative Assistant will support the Chief Operating Officer as well as perform responsibilities for the Asset Management team. Support the COO by effectively managing schedule, complex and confidential administrative tasks, secretarial, analytical and research duties. Duties performed require considerable confidentiality, initiative, and independent judgement.
Responsibilities:
- Responsible for directly supporting COO with calendar management, meeting preparation, and coordinating, internal and external events, among other administrative functions.
- Review and analyze expense reports, track, and completion of expense reports for the Asset Management team.
- Own travel planning; book travel arrangements for COO and Asset Management team.
- Maintain office activity logs, files, and documents.
- Screen visitors, phone calls, and mail as directed by the COO.
- Handle confidential and sensitive information with discretion.
- Provide general administrative support and clerical support to leadership and management teams as needed.
- Draft, edit, and proofread correspondence, memos, reports and other documents for accuracy and professionalism.
- Run errands to the bank, airport, handle lunches etc.
- Provide, as needed, all administrative support to the Asset Management Team.
- Assigned additional duties as needed.
Qualifications:
- High school diploma or equivalent required.
- Proven experience as an Administrative Assistant or in a similar role, preferably at an executive level.
- Must have a California drivers license with a clean driving record.
- Strong organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment.

- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
Physical Requirements:
- Prolonged periods of sitting at a desk.
- Must be able to lift up to 15 pounds at times.
