General Description:This position is responsible for the coordination of all the elements of even non-technical logistics; coordination of theater’s front-of-house activities (i.e., setups, ushers, concessions, merchandise, and custodial); the coordination of volunteer programs, contract preparation, resource allocation, settling, and calendaring; and the coordination of activities in support of Arts Festival Oklahoma.
Reports To:Director of Cultural Programs
What position(s) reports to this position?:Front of House staff to include volunteer and contract staff (ushers, greeters,ticket-takers), and 3rd party vendors.
Minimum Education/Experience:Associate degree
Minimum (2) years’ of work experience in coordinating and managing events, projects, volunteer services, and working as a theater front-of-house manager.
Equivalency/substitution: two (2) years of work experience coordinating and managing events, projects, volunteer services, and working as a theater front-of-house manager in lieu of degree, for a total of four (4) years of experience.

Methods used to recruit, organize, train, utilize, motivate, and recognize volunteers and organizations;
Principles and practices of volunteer management;
Microsoft Office (or similar software);
Web-based volunteer recruiting, scheduling, and management systems;

Front-of-house theater management.

PHYSICAL/MENTAL DEMANDS AND WORKING CONDITIONS:
The work is light work which requires the person in this position to occasionally exert up to 20 pounds of force to grasp, lift, carry, push, pull, or otherwise move objects. Additionally, the following physical abilities are required:
This position requires that the person has near vision enough to read written communications.
This position requires that the person has speech and hearing enough to communicate in person and over the telephone.
Strength enough to lift, pull, push, or carry objects weighing up to 35 lbs., boxes of programs, stanchions, etc.
Work is performed in a relatively safe and secure work environment that may periodically have unpredictable requirements or demands.
Work is performed within a schedule of varied hours including evenings, weekends, and holidays.
Bachelor’s degree
Previous work experience at Visual and Performing Arts Center at in institution of higher ed.
Quarterly compliance training as assigned by institution

Job Duties (Duties Assignment Statement):Coordinates all aspects of volunteer usher activities to enhance participation and service delivery including: soliciting and/or generating the interest of groups and individuals willing to serve in a volunteer capacity; monitoring the quality and effectiveness of existing volunteer programs; recommending program changes; recruiting and interviewing potential volunteers to determine the appropriate activity or program assignment; planning, scheduling, coordinating, and reviewing the work of volunteer and contract ushers; maintaining reports, statistical data, and time records; and evaluating program and recruiting methods to determine effectiveness.
Manage all the responsibilities of the Coordinator of Cultural Programs job description. Coordinate all activity of the VPAC. Manage “the keeper” of the AdAstra, Fastbook calendars, manage daily transactions, balance the monthly Finance Reconciliation sheet, contract all internal meetings and events taking place in the VPAC. Create estimates, receive BPO’s from departments, create, estimates, receive signed Event Orders, Communicate with Food and Beverage, Facilities, Audio Visual. Manage a FOH Hourly associate to service the internal events
Plans, organizes, and implements volunteer recognition events, activities, and initiatives.
Coordinates all activities in support of Arts Festival Oklahoma (AFO) including: coordinating artist and vendor application and selection process; requisitioning funds for goods and services in support of the festival; monitoring and reconciling the annual festival budget; compiling and maintaining a detailed AFO timeline and task list to ensure timely completion of tasks; and organizing and assembling the AFO annual final report.
Completes and/or updates annual cyclical projects; serves as liaison between the office of Cultural Programs and the various Arts Festival Oklahoma committees and sub-committees; schedules and plans meetings; creates and disseminates meeting notes; and serves as the event’s central communications contact within Cultural Programs.
Assists the Assistant Director with the coordination of theater front-of-house (FOH) activities (i.e., setup, ushers, concessions, merchandise, and custodial); serves as event FOH Manager as needed; and performs other duties as assigned by the Assistant Director and Director of Cultural Programs.
