Overview:
We are seeking an Administrative Assistant who will focus on administrative and information management tasks. This position resides in the Safety & Operations Services Division within The Environment, Safety, Health, and Quality Directorate at Oak Ridge National Laboratory (ORNL).
Major Duties/Responsibilities:
- Index and file records (hard copy and electronic) using electronic document management systems.
- Ensure accuracy of electronic documents and records by reviewing scanned and other electronic files for legibility and completeness.
- Prepare special records for long-term storage, and handle reorganization of electronic files in systems as needed.
- Handle sensitive and personally identifiable information according to established procedures.
- Update internal electronic documents sent in by division staff.
- Support division administration needs, as assigned.
- Assist with special projects and assignments, as needed.
- Maintain a consistent, reliable work schedule during core hours to meet needs of staff.
- Exhibit a professional demeanor and presence (internal and external) to promote a business-like environment.
- Data entry into multiple systems.
- Act as the point-of-contact for all document management issues within the division, and establish a sound working relationship with ORNL records management personnel.
Basic Qualifications:
- High School diploma
- A minimum of 2 years of experience in a business or administrative setting
- Proficiency in office computer systems and software applications such as Microsoft Office/Outlook/Word/Excel/Power Point/Adobe Acrobat
Preferred Qualifications:
- Associate’s degree
- Experience in business, information management, or related field
- Excellent written and oral communication skills
- Motivated self-starter with the ability to work independently and to participate creatively in collaborative teams across the laboratory
- Ability to function well in a fast-paced mission support environment, set priorities to accomplish multiple tasks within deadlines, and adapt to ever changing needs
Physical Requirements: Work involves various physical requirements and working conditions such as standing for long periods, kneeling, stooping, and carrying and lifting up to 30 pounds. As such, a pre-hire physical will be required after offer.
